The role
As Executive Assistant, you will be a trusted partner to two senior leaders, the Executive Director - Business Services and the Executive Director - Health Services Commissioning. You will support the delivery of strategic, operational and governance activities across both portfolios.
This role goes beyond traditional administration, offering exposure to projects, planning and performance reporting, stakeholder engagement and committee support. It is ideally suited to someone who enjoys variety, takes initiative, and thrives in a fast-paced executive environment.
What you'll do
In this role, you will:
* Provide professional, confidential executive support to two Executive Directors, including proactive diary and email management.
* Prepare and quality assure correspondence, briefings, reports and business documents in line with organisational style guidelines.
* Deliver end to end secretariat support for internal and external meetings, including agendas, minutes, action registers and Terms of Reference.
* Provide secretariat support to the Emergency Planning and Response Team (EPART) committee when it stands up, including minutes and maintenance of registers. Provide and prepare evaluation after an EPART event as directed.
* Support project activities through planning, coordination, monitoring and reporting
* Manage correspondence and requests, ensuring priorities are identified and responses are timely.
* Coordinate stakeholder engagement by scheduling meetings and preparing high quality meeting materials.
* Assist with reporting against operational, strategic and performance frameworks.
* Undertake routine financial administration, including invoice processing, credit card reconciliation and contract administration.
* Maintain accurate, confidential and secure electronic records.
* Support committee operations and evaluation activities as required.
* Contribute to continuous improvement by identifying opportunities to streamline processes and enhance ways of working.
* Actively support the organisation’s Reconciliation Action Plan (RAP).

Key selection criteria
* Certificate level qualification in Business Administration or experience equivalent of 3-5 years high level administration.
* Excellent written communication skills, including demonstrated experience in preparing business documentation including but not limited to briefings, reports, and correspondence.
* Excellent interpersonal skills, including the ability to liaise with a wide variety of internal and external stakeholders on a range of sensitive issues.
* Experience in providing high quality secretariat support to committees, including document control processes.
* Demonstrated ability to plan, meet deadlines and prioritise complex workloads while working autonomously, and to be flexible in a changing teamwork environment.
* Well-developed organisational and problem-solving skills and the ability to work collaboratively with others to achieve common goals.
* A high level of attention to detail and time management skills and applications.
* Sound knowledge of Microsoft Office suite and the ability to become proficient in other software programs as required.
