Compliance Coordinator

* Location: Brisbane

POSITION DETAILS

Success in this role requires a detail-oriented and proactive professional with strong organisational skills, a sound understanding of quality and compliance systems and the ability to work collaboratively across teams. The ideal candidate will demonstrate initiative in identifying areas for improvement, accuracy in documentation and reporting, and a commitment to fostering a culture of continuous improvement and service excellence. Strong communication skills, integrity and an understanding of community service quality standards.

KEY RESPONSIBILITIES

Quality and Risk Management

* Support the implementation and maintenance of Footprints? Quality Management Framework to ensure compliance with organisational, contractual and regulatory requirements
* Assist with the monitoring and updating of risk registers, ensuring risks are identified, documented and mitigated effectively.
* Maintain the Quality Management System to ensure documents, processes and registers are current, accessible and aligned with organisational needs.
* Manage version control, document formatting and publication of controlled documents.
* Support staff in navigating and using the QMS effectively.
* Support managers to identify, document and monitor quality risks.
* Assist in the development and delivery of quality-related training and awareness activities.

Document Control & Policy Support

* Coordinate the review, approval and publishing workflow for all policies, procedures and controlled documents, ensuring organisational consistency and alignment.
* Ensure compliance with document control standards, naming conventions and storage protocols.
* Assist policy owners with drafting, editing and updating documents.

Continuous Improvement and Practice Support

* Support a culture of continuous improvement by identifying opportunities to strengthen systems, policies and practices.
* Assist teams in documenting, tracking, and implementing quality improvement actions and outcomes.
* Contribute to service reviews, evaluations and quality improvement initiatives aligned with best practice standards.
* Provide administrative and coordination support for quality and practice-related projects.
* Assist with quality training and awareness activities relating to QMS and document control.
* Assist with quality system improvements and updates to forms, templates and workflows.

Feedback, Complaints and Incident Support

* Assist in managing feedback and complaints processes in line with organisational policy and regulatory requirements.
* Support the coordination, recording and resolution of complaints and incidents, ensuring appropriate follow-up actions are taken.
* Ensure actions arising from feedback and complaints are assigned and monitored.
* Contribute to trend reporting and analysis to inform service improvement initiatives.

Reporting and Communication

* Prepare regular reports on document control status, feedback trends, risk themes and QMS utilisation.
* Ensure quality system updates are communicated clearly and promptly to staff.
* Participate in internal meetings and working groups as required.

KEY SELECTION CRITERIA

Essential

Mandatory qualifications, registrations, and other requirements

* Current Queensland Class C Driver?s Licence.
* NDIS Worker Screening Check or current Yellow Card and Blue Card.
* Qualifications in quality management, information management, human services or related discipline; or equivalent experience.

Experience and Expertise

* Demonstrated experience managing or supporting quality management systems, including document control, version control and policy administration.
* Demonstrated experience with document reviews, consolidations and consistency practices across varying programs within an organisation
* Experience coordinating feedback and complaints systems, including trend analysis and action tracking.
* Strong understanding of quality frameworks relevant to community services (HSQS, Aged Care Quality Standards, NDIS Practice Standards).
* Experience maintaining risk registers, quality-related reporting or assurance records.
* Demonstrated ability to support continuous improvement processes, including tracking improvement actions.

Technical and Operational Skills

* High-level proficiency with digital document management systems, forms, registers and databases.
* Strong Microsoft Office skills, particularly in Word (templates, formatting), Excel (registers and logs) and SharePoint or similar platforms.
* Project management skills and the ability to coordinate multiple priorities simultaneously.
* Strong attention to detail and organisational capabilities.

Desirable

* Previous experience in community services, aged care, mental health, or disability sectors.
* Knowledge of Queensland government structures and the community services landscape.
* Understanding of Aboriginal and Torres Strait Islander engagement and cultural protocols.
