We are seeking an experienced Team Assistant to join our Asset Management Team in Melbourne on a part-time basis. Working 20 hours a week, the role will report to the Head of Marketing & Communications and will be responsible for providing team administration support to Sales, Marketing and Infrastructure functions of the Asset Management business in Melbourne - a team of 9 people. We are also looking for someone who has an interest in events and marketing as the role will involve supporting the marketing function on regular marketing communications, web updates and logistics for proprietary events.
**Key Accountabilities / Major Responsibilities**:
- Arranging team travel logistics including but not limited to flights, hotels and car bookings.
- Provide support in arranging meetings, booking rooms and internal catering.
- Diary management, answering and covering phone lines and taking meeting minutes.
- Expense claim processing, invoice processing and payment management.
- Maintaining Compliance records, GST records and liaising with the Finance team in Singapore.
- Managing technology equipment requests, team technology requirements
- Supporting sales team including but not limited to:
- CRM system (SalesForce) data input and maintenance.
- Coordinating product specialist road-shows including printing materials, meeting co-ordination, transfers and itineraries.
- Assisting with client presentation and meeting preparation
- Supporting the Marketing head including but not limited to:
- Event management including venue, catering, invitation, RSVP management and compliance checks
- Co-ordination of content and production of various marketing materials
- Co-ordination and posting of social media/web updates
- Assist with vendor onboarding and management
- Preparation of regular marketing dashboards and reporting requirements
- Maintain functional office space including ordering of office stationary
- Provide coverage if Sydney Team Assistant is away
**Qualifications & Experience Required**:
- At least two years experience in a similar role, providing business and administrative support with a proven track record to work successfully in a team-oriented environment
- Strong interest in marketing or previous experience in a marketing assistant type role
- Experience in a large, multinational corporate environment, ideally financial services
- Intermediate experience in Microsoft Word and Excel and Salesforce
- Strong interpersonal skills in order to deal tactfully and effectively with internal/external parties across all levels
- Outstanding organisational skills, with strong attention to detail.
- Ability to function effectively in a fast paced environment
- Pro-active, with the ability to resolve problems employing a methodical, common sense approach.
- A positive, can-do attitude with the ability to effectively manage competing demands
- To be a quick learner as the position will require use of various internal systems; there will be extensive and ongoing training provided on all of these systems
