POSITION: Police Board Coordinator

DEPARTMENT / DIVISION: Victoria and Esquimalt Police Board

The Victoria and Esquimalt Police Board, which is composed of volunteer members appointed by the Province of British Columbia, provides civilian oversight of the Victoria Police Department.

Pay: Exempt - $37.00/hour + 15% in lieu of benefits

Duration: Part-Time (up to 20 hours/week), Term (12 months)

Position Function:

The Police Board Coordinator is responsible for providing highly confidential administrative services to the Victoria and Esquimalt Police Board by coordinating, monitoring, and delivering dependable and valuable support of all admin services for the effective functioning of the Police Board. The Police Board Coordinator represents the Police Board in a professional and discreet manner to a variety of stakeholders, including the Victoria Police Department, the City of Victoria, the Township of Esquimalt, the Province of British Columbia and special interest groups.

Major Areas of Responsibility

* Provide administrative support for all Police Board meetings, standing committees and ad-hoc committees as required.
* Prepare agenda packages, take minutes, and manage action items.
* Write letters, memos, reports, spreadsheets, and presentations.
* Manage calendars for booking events, meetings, media, training, and travel.
* Maintain the Police Board manual, member profiles, terms, attendance, and training records.
* Establish weekly, monthly, and annual meeting and presentation schedules.
* Develop logistics for meetings, including arranging venues, catering, and audiovisual equipment.
* Create and maintain custody and control over a comprehensive and well organized electronic and hard copy filing system for easy retrieval.
* Organize Police Board member orientation and onboarding, including providing orientation materials, scheduling training sessions, and coordinating with staff.
* Research information and provide concise reports of findings as directed.
* Ensure that all urgent matters are brought to the attention of the Board Chair and apprise them of any activity conducted on their behalf.
* Monitor of the Police Board's annual operating budget.
* Enable excellence in Governance, ensure statutory and regulatory compliance, and ensure effective internal and external communication with stakeholders.
* Act on the Board's behalf to further the Police Board's objectives by communicating and liaising with VicPD Executives, the City of Victoria, the Township of Esquimalt, the Office of the Police Complaint Commissioner, Police Services, BCAPB, CAPG and other stakeholders as directed.
* Perform additional duties as required.

Education, Experience and Qualifications

Formal Education and Certification

* Two years of post-secondary education in a relatable field, plus a minimum of five years of senior level administrative coordinator experience; or a combination of education and experience.

Knowledge and Experience

* Proficient in using current office software, equipment, and business English.
* Skilled at creating agenda packages, recording minutes, and documenting motions.
* Familiar with parliamentary knowledge relating to meeting management and governance.
* Awareness and understanding of the practices and cultures of police agencies, councils, police boards, and government are an asset.
* Research and referencing experience are an asset.

* Excellent interpersonal communication, oral and written skills, including proofing and editing.
* Maintain strict confidentiality of sensitive matters and exercise sound judgement and discretion when releasing information.
* Exercise a high degree of professionalism, tact, and diplomacy.
* Anticipate needs while remaining flexible and adapting quickly to a changing environment.
* Execute tasks well under time constraints.
* Detail oriented with strong task management skills.
* Work independently and efficiently in the absence of direction.
* Establish and maintain effective working relationships with external and internal stakeholders.
* Adapt to changing technologies and learn new technologies and systems.

Other

* Enhanced security clearance, consisting of police information systems check, personal questionnaire, polygraph examination, and reference checks, are conditions of employment.
* This new role is a part-time (up to 20 hours/week), term (12 month) position.
* The hourly wage is $37.00/hour, plus 15% in lieu of benefits.
* This Exempt position takes functional direction from and supports all members of the Victoria and Esquimalt Police Board, and reports directly to the Police Board Chair.
* This is a remote position; however, the Police Board Coordinator will be expected to be in physical attendance for all monthly Police Board meetings, standing committee meetings, and ad hoc committees as required.
