About the Role
The Events Assistant is essential to delivering UiLab's events portfolio, which builds capability, connections and community across Logan's community and industry ecosystem.
Reporting to the Events Manager, the role will support the end-to-end delivery of diverse events including workshops, hackathons and online webinars. The role will directly contribute to UiLab's mission: strengthening industry adoption of emerging technologies, creating pathways to opportunities for young people, and providing accessible entry points for the Logan community.
Key Responsibilities
Event Delivery & Coordination
* Assist with event setup and pack down, including venue preparation, signage, registration desks, and AV equipment
* Provide technical and logistical support for online events, including platform management and troubleshooting
* Support the Events Manager with event planning, logistics coordination, and registration management
* Prepare event materials including name badges, signage, attendee packs, and promotional materials
* Coordinate with suppliers and vendors to ensure timely delivery of event requirements
* Assist with pack down, return of equipment, and maintain event inventory to ensure everything is event-ready
Administrative Support
* Assist with general events administration as required
* Monitor the UiLab inbox for incoming correspondence
Event Communications & Marketing
* Draft and distribute event communications including email campaigns, pre-event reminders, and post-event follow-ups
* Support the Brand Coordinator with event branding assets such as presentation slides, handouts, social tiles, banners, newsletters and flyers
* Coordinate photography and videography vendors and draft event briefs
* Prepare and distribute Professional Development certificates for teacher attendees
Merchandise & Design
* Design basic merchandise using design tools
* Manage merchandise stock levels, including stocktaking and ordering
Key Experience & Skills
Essential:
* Demonstrated experience in events coordination or similar operational role with customer-facing responsibilities
* Exceptional organisational and time management skills with proven ability to manage competing priorities
* Strong written and verbal communication skills, with experience drafting professional correspondence
* Proficiency with design tools and confidence learning new platforms and systems
* High attention to detail and commitment to quality delivery
* Ability to work both independently and collaboratively as part of a small, agile team
* Flexibility to work outside standard business hours for event delivery (including occasional evenings and weekends)
* Current driver's licence and access to a reliable vehicle
* Physical capability to lift and move equipment, and remain on your feet for extended periods
Desirable:
* Familiarity with community engagement, education sector or government/public sector events
* Understanding of emerging technologies such as AI, automation and robotics or interest in learning
* Experience coordination with multiple stakeholders including venues, suppliers and vendors
* Experience with online event platforms
