Integrated Medical Services (IMS) and Far North Day Hospital (FNDH) are part of a collaborative private healthcare group delivering high‑quality specialist and day hospital services to the Cairns and Far North Queensland region.
We are seeking an experienced Executive Assistant – Governance to provide high‑level executive and governance support across both IMS and FNDH, with a strong focus on accreditation support, compliance, and maintaining effective corporate governance systems.
This is a key full‑time role supporting senior leaders and Boards within a regulated healthcare environment.
About the Role
Reporting to the Chief Financial Officer, this role provides executive, governance and compliance support to the Executive teams and Boards of IMS and FNDH.
You will play a critical role in supporting effective governance processes, accreditation readiness, and the integrity of corporate systems across both entities.
Key responsibilities include:
* High‑level executive and administrative support to Executives and Boards
* Coordination of Board and Committee meetings, including agendas, minutes, action registers and records management
* Supporting accreditation processes, including documentation and evidence management aligned with the National Safety and Quality Health Service (NSQHS) Standards
* Maintaining governance, compliance and risk systems, registers, and corporate documentation
* Ensuring policies and procedures are current, appropriately approved, and well maintained
* Supporting audit preparation, accreditation surveys, and continuous quality improvement activities
* Preparing high‑quality executive, governance and compliance documentation
* Managing confidential and sensitive information with discretion and professionalism
About You
To be successful in this role, you will bring:
* Demonstrated experience as an Executive Assistant, Governance Officer, or senior administrator, ideally within healthcare or another highly regulated environment
* Strong understanding of corporate governance frameworks and Board operations
* Experience supporting accreditation processes, audits, or regulatory compliance (NSQHS experience highly desirable)
* Exceptional organisational skills with a high level of attention to detail
* Strong written communication skills, including preparing governance and executive documentation
* Confidence working with senior executives, Boards and multiple stakeholders
* A proactive, professional and discreet approach
