A leading financial services firm is seeking a
Client Services & Administration Coordinator
to join its Canberra-based team. This is a client-facing, hands-on role offering variety, responsibility, and a clear pathway into an Office Manager position.
Ideal for someone with financial services administration experience who enjoys working closely with advisers, supporting clients, and being involved in day-to-day operations within a professional environment.
Key Responsibilities
* Act as a key point of contact between clients, advisers, and internal teams
* Manage client enquiries via phone and email in a professional and timely manner
* Open, maintain, and update client accounts across various asset classes and platforms, ensuring all regulatory requirements are met
* Work daily with systems including IRESS, Agility, and Praemium
* Monitor trade settlements, cash movements, and outstanding balances
* Process client transactions, including cash transfers and term deposits
* Coordinate client documentation such as changes to personal details, banking information, and security holdings
* Assist advisers with client reports, research material, portfolio reviews, and presentations
* Maintain accurate client records, databases, and spreadsheets
* Liaise with IT to ensure office systems and technology operate smoothly
* Prepare documentation relating to estates, trustee changes, and stock transfers
* Support corporate actions, including placements and new issues
* Provide general office coordination and ad hoc administrative support as required
About You
* Previous administration experience within financial services (highly regarded)
* Strong organisational and time-management skills
* Ability to work autonomously while contributing positively to a team environment
* Proactive mindset with strong attention to detail
* Clear written and verbal communication skills
* Professional presentation and manner
* Strong Microsoft Office skills, particularly Excel
