The Project Support Administrator reports to the Office Manager and works closely alongside Project Managers and Directors for the effective operation of the Marine and Engineering Departments.
They need to be highly organised in order to anticipate, prioritise and plan a busy workload and manage the demands in a fast-paced, professional environment.
Key Responsibilities and Duties
Project administration, including the creation and archival of projects and personnel resource assignment in Company operating systems.
Document processing (receiving and issuing of documents in our tracking systems, as well as utilising clients' systems)
Assist project teams with surveyor liaison, coordination, and logistics.
Assist with the input and management of timesheets and expenses.
Project invoicing, reconciliations and follow up of client payments.
Assist with QHSE compliance and reporting.
Coordination and record management of Freelancer's, including induction, timesheets and maintenance of CVs.
Formatting of Company documents and preparation of work orders.
Assist with maintaining Master Document Register and Training Matrix.
Receiving and directing phone calls and monitoring of the office inboxes.
Stationery, kitchen stock and equipment maintenance.
Comply with current revisions of ABL internal procedures, guidelines and QHSE system.
Perform in accordance with KPI's and goals set by Line Manager and/or Country Manager.
Support the Office Manager and the administration team in providing administrative support to all Departments, as reasonably required.

Qualifications
Year 12 or equivalent education level required
Australian work rights must be held at time of application
Work Experience
Experience in Accounts Receivable
Experience in an administrative role
Experience in Accounts Payable
Experience in the Offshore/Oil and Gas/Marine/Energy industries
Technical Skills, Knowledge, Abilities, Personal Attributes, Competencies and Behavioural Traits
Intermediate computer literacy, including MS Office
Excellent oral and written communication skills
Excellent telephone manner and interpersonal skills
Ability to organise and prioritise own work and deliver a high standard to tight deadlines
Strong attention to detail and data entry accuracy
Experience with ERP systems
