A well‐established allied health organisation in Geelong is seeking a proactive and personable Intake Officer to join their team on a three‐month temporary assignment. The team is looking for someone who can step in confidently, maintain workflow stability, and support upcoming compliance work.
Your new role
Working closely with the Intake team and reporting to senior leadership, you will support both Intake and Administration functions. You will also participate in weekly meetings with the Service Manager and assist with essential tasks in preparation for the organisation's audit scheduled for 6 June.
Intake Duties:
* Manage all incoming referrals
* Follow-up enquiries, email responses, and advertising leads
* Maintain accurate data and workflows within the CRM
* Liaise with clients, families, and providers in a professional and patient manner
* Apply foundational knowledge of NDIS line items and funding (preferred)
* Develop an understanding of the organisation's full suite of services
Administration & Rostering Support:
* Answer incoming phone calls and take detailed messages
* Provide general administrative support to the broader team
* Work closely with the rostering team and assist with basic rostering tasks
* Support compliance and documentation ahead of the June audit
* Use internal systems including PracSuite and Nightingale (training provided)
What you'll need to succeed
* Confident with client communication, phone etiquette, and managing multiple tasks
* Proactive, patient, and capable of handling sensitive client enquiries professionally.
* Competent in Excel, Outlook, and general digital systems
* Experienced in NDIS, allied health, disability support, or community services (highly regarded)
* Able to pick things up quickly and complete a structured handover over 3-4 days in late February
