About Us
We're a locally owned and operated HVAC business delivering high-quality air conditioning and refrigeration services to homes, businesses, schools and hospitals. As our business rapidly grows, we're looking for an experienced, reliable, and tech-savvy Administrative & Accounts Assistant / Office Manager to help support day-to-day operations and keep everything running smoothly behind the scenes.
This is a varied role working directly with the business owner and financial manager in our Fernmount office and Raleigh warehouse. You'll assist with customer and supplier communications, scheduling, invoicing, digital admin tasks, and keeping our website and social media channels up to date.
This is a casual position, starting out at 3 days per week. A permanent part-time position will be offered to the right candidate, with future requirements for 5 days per week.
Key Responsibilities
* Handle incoming customer enquiries via phone and email
* Assist with scheduling jobs, communicating with technicians and clients
* Perform general data entry, document management and filing
* Assist with accounts admin tasks
* Maintain and update the business website
* Create and schedule social media posts to promote our services
* Track and order stock, including inventory management
* Provide ad hoc admin support to the business owner and financial manager
Experience & Skills
This is NOT an entry level or work from home role. Applicants must have the following:
* Minimum of 1 year experience in an admin, receptionist, or office support role
* Experience using Microsoft Office
* Experience using Xero & Hubdoc
* Experience in inventory management and job bookings
* Experience managing social media platforms and familiarity with website content updates via Squarespace
* Excellent communication and organisational skills
* Ability to manage multiple tasks and work independently is essential
* Ability to problem-solve, specifically with tech-stacks
* Current drivers licence and car
The following is not essential, but will be preferred over other applicants:
* Experience within the HVAC or other construction related industries
* Experience using Service M8
* Experience with payroll
