Nepean Hospital is a teaching hospital that provides tertiary referral services in emergency care, coronary care, diagnostics, gynaecology, paediatric, neonatal intensive care/ICU, maternity, mental health, rehabilitation, and surgery. The Nepean Campus has recently experienced tremendous growth and aims to support communities within and outside of Sydney’s western suburbs, providing world-class clinical facilities, services, and care.
Our Division of Surgery is seeking a dedicated and detail‑oriented team member to support the effective management of the Hosportal system and the broader administrative needs of the service. This role is responsible for maintaining the integrity, privacy and appropriate user access of the Hosportal system, while also promoting its use among staff who interact with the Operating Suite. You will extract reports and business information from Hosportal and the Operating Suite database to support service delivery and operational decision‑making.
In addition to system oversight, the role provides essential support to nurses, medical staff and Nurse Unit Managers by coordinating administrative activities aligned with Operating Suite service needs. This includes ordering stock, ensuring all revenue and billing information for rebateable items is available for processing, and assisting with day‑to‑day workflow requirements. The position also contributes to continuity of service by relieving administrative staff during periods of leave.
Success in this role requires high‑level computer skills, strong knowledge of office systems and procedures, and a high standard of document preparation. You will need to manage competing priorities, meet deadlines and maintain strict confidentiality in all aspects of your work. What you will bring to the role:
* Ability to exercise initiative and problem solving skills in consultation with supervising staff when performing new, complex or critical tasks.
* Demonstrated customer service and administrative experience, with experience working in a multi-disciplinary team. A working knowledge or understanding of Hosportal.
* Accurate data entry skills and demonstrated high level oral and written communication skills.
* Understanding of Activity Based Funding (ABF) and Peri-operative key performance indicators (KPI’s).
* Demonstrated proficiency in the use and management of I Procurement.
* Demonstrated extensive experience using iPM Theatre modules and experience in using MS Word, ClickView, Excel and PowerPoint and I Procurement.
* Demonstrated ability to problem solve, prioritise tasks, time manage daily tasks and implement systems and processes to ensure deadlines are met.
* Demonstrated understanding of billing of rebateable items and relevant processes.
