The Role
The Maintenance Coordinator is responsible for coordinating and administering maintenance services across the School's campuses.
This role provides critical administrative and system support to ensure maintenance activities are planned, scheduled, and delivered efficiently, safely, and in line with school requirements. The role is primarily administration and coordination based and does not involve hands-on maintenance work.
This is a permanent full-time position based at the Caulfield Campus, with regular travel to other campuses including Wheelers Hill, City, Malvern Campus, and Shelford Campus.
Key Duties
* Coordinate and administer all maintenance activities across multiple campuses, including fire services, cleaning, and security contractors
* Act as the central point of contact for maintenance requests, triaging work orders and ensuring timely resolution
* Raise and manage purchase orders, process invoices, and support financial administration related to facilities and maintenance
* Schedule preventative and reactive maintenance works, ensuring minimal disruption to school operations
* Maintain accurate records within maintenance and facilities management systems
* Support the Facilities and Maintenance Manager with forward planning for maintenance, minor works, and school improvements
* Build effective working relationships with Facilities Managers and key stakeholders across campuses
* Ensure compliance with safety protocols, assist with audits, report hazards and incidents, and support workplace safety initiatives
* Provide general administrative support related to facilities and maintenance operations
* Model and live the Caulfield Grammar School values and behaviours.
Skills and Experience
* Demonstrated experience in a coordination or administration role, ideally within facilities or maintenance environments
* Strong system administration skills, with the ability to manage work orders, schedules, and documentation
* Previous exposure to maintenance, facilities, or trade environments, with the ability to understand and prioritise maintenance needs
* Proven organisational and time management skills, with the ability to manage multiple requests across sites
* Strong communication skills and the ability to build positive relationships with a wide range of stakeholders
* High attention to detail and problem-solving capability
* Elevated Work Platform and High-Risk Work License
* A Trade Qualification in a related discipline
* Current Employment Working with Children Check
