ABOUT THE ROLE
We are seeking a passionate and highly organised VCE Administration Assistant / VASS Coordinator to join our Senior School team, in a progressive, supportive and well-resourced educational environment.
You will be responsible for supporting the effective administration of the Victorian Certificate of Education (VCE), ensuring the accurate management of student data through the Victorian Assessment Software System (VASS). Working closely with the Deputy Head of Senior School, VCE Coordinators and teaching staff, you will coordinate key aspects of VCE operations, including the GAT, Year 11 examinations and subject changes, VASS data entry and results processing, preparation of trial examinations, and the maintenance of student records. The role also supports work experience administration, processes second language applications, and assists in the organisation of significant Senior School events such as the Formal and Valedictory, ensuring accuracy, compliance and the timely execution of all requirements.
This is a full time, fixed term contract position for Terms 2 and 3, 2026, inclusive of school holiday periods. To ensure a smooth and comprehensive handover, the role will commence on 30 March 2026 and conclude on 2 October 2026.
ABOUT YOU
You are a proactive and detail-oriented administrator who thrives in a dynamic educational environment. You demonstrate sound judgement, maintain confidentiality, and build positive working relationships with staff, students and families. Experience in a secondary school administrative environment is highly regarded, particularly where there has been exposure to VCE processes.
Knowledge & Skills
* Demonstrated experience using VASS, with a sound understanding of VCAA requirements (or the capacity to quickly develop this knowledge).
* Proficiency in Microsoft Office, particularly Excel.
* Experience using TASS, or another school management/database system (highly regarded).
* Experience coordinating examinations and assessment processes.
* High-level organisational and time management skills.
* Excellent attention to detail and data accuracy.
* Strong written and verbal communication skills.
* Advanced administrative and data entry skills.
* Ability to manage competing priorities and meet strict deadlines.
* Discretion and professionalism when handling sensitive information.
