Rostering Coordinator (Two Full-Time Positions)

West Lakes Office

Available shifts:

• Full-time: 7:00am–3:00pm

• Full-time: 11:00am–7:00pm

Commencement: As soon as possible, but flexible for the right people.

At Your Choice Matters (YCM), rostering is not an admin role you sit quietly behind.

It is one of the most important roles in the business.

When it is done well, our participants are supported properly, staff feel looked after, and the whole organisation runs calmly. When it is not, everyone feels it. We are very aware of that, and we hire accordingly.

Due to growth and a deliberate restructure of our office coverage, we are now seeking two full-time Rostering Coordinators to join our business operations team at our West Lakes office.

These roles are designed to provide stronger coverage across the day, better continuity for staff and participants, and a more sustainable workload within the office.

Both roles work closely with our existing Rostering Coordinator and leadership team. You will not be thrown in the deep end. You will be trained properly, supported closely, and trusted more as you demonstrate capability, judgement, and consistency.

This role sits at the centre of the business. You will deal with staff, participants, families, and coordinators daily. How you communicate and how you carry yourself matters just as much as what you do.

The roles


We are recruiting for two full-time, office-based positions, based at our West Lakes office:

* 7:00am–3:00pm
* 11:00am–7:00pm

These roles provide coverage across the day and include structured handover between shifts to ensure continuity.

Occasional weekend on-call support is required on a rotating basis.

You will manage rosters using our custom-built YCM CRM, respond to real-time changes, and be a key point of contact during your allocated hours.

You must be comfortable being contactable, responsive, and calm when plans change.


Key responsibilities

* Creating and maintaining accurate rosters across the business
* Responding quickly to staff absences or changes so participants are never left without support
* Matching the right staff to the right participants, not just filling shifts
* Communicating clearly with staff, participants, families, and support coordinators
* Working within service agreements, budgets, and NDIS expectations
* Maintaining accurate records and daily run sheets in the CRM
* Providing clear handover notes between rostering shifts and for weekend on-call coverage
* Working proactively with management to identify issues early and resolve them properly

Attention to detail and follow-through are essential.


This role suits someone who

* Is genuinely comfortable with technology, mobile phones, CRMs, and fast-paced communication
* Thinks ahead rather than reacts late
* Stays calm and respectful under pressure
* Is organised by nature
* Listens carefully and follows instructions
* Communicates clearly with people from all backgrounds

Experience in disability is not essential. Maturity, judgement, and reliability are.


This role will not suit someone who

* Struggles with systems or technology
* Needs constant supervision to stay on task
* Avoids accountability or difficult conversations
* Becomes flustered when plans change

Experience


These roles can suit entry-level applicants with strong capability and attitude, or people with prior rostering or coordination experience. What matters most is how you think, communicate, and follow through.
