Primary objective
Provide a high level of confidential, administrative and secretarial support, including management of the daily business of
the Executive Director and extended co-ordination and support to the Land Servicing and Engineering work unit.
Key duties and responsibilities
1. Provide executive level assistance to the Executive Director, including drafting correspondence, following up on actions,
preparation of minutes, coordination of meeting papers, monitoring a number of email accounts, screening of telephone
calls and visitors, electronic diary management, and records management.
2. Coordinate and assist in the preparation of Legislative Assembly Briefs, Ministerial and Cabinet Submissions, meeting
papers and briefings, general correspondence, and reports.
3. Provide records management support to the Unit and track all requests for information to ensure timeframes are met.
4. Purchase goods and services for the Unit, including office supplies and meeting and events venues and assist with the
coordination of the Unit's financial and budget information.
5. Develop and maintain strong relationships with all levels of staff within the Department and external agencies and
organisations.
6. Provide support as required to the Directors and staff in the Unit and assist in the day to day operations of the Unit.
Selection criteria
Essential
1. High level of interpersonal skills with a flexible attitude and ability to adapt to change.
2. High degree of verbal and written communication skills with a high level of accuracy, attention to detail and demonstrated
experience in preparing correspondence.
3. Reliable, highly motivated, and able to work within a team environment and without direct supervision.
4. Demonstrated high level of diplomacy, integrity, confidentiality, and tact in dealing with a range of individuals and
organisations within all levels of government and outside organisations.
5. Organisational skills of a high order with the ability to set priorities, work under pressure, plan for alternatives and
complete tasks within required timeframes.
Desirable
1. Experience with the TRM records management system
2. Experience with purchasing goods and services.
3. Knowledge and understanding of procedures involved in processing Ministerial correspondence, Cabinet Submissions
and Legislative Assembly Briefings to required standard.
