Job Title: Executive Assistant and Project Officer to the Head of Clinical School
About the Role: We are seeking an organised and dedicated professional to play a key role in supporting the Head of Clinical School through high-level executive assistance and coordination of strategic projects.
Key Responsibilities:
* Work closely with the Head of Clinical School, senior administrators, academic staff, and external stakeholders
* Manage complex diary and travel arrangements, ensuring compliance with university policies
* Coordinate and support clinical school-specific projects, including planning, reporting, and logistics
* Draft and review correspondence, prepare meeting papers, and ensure timely distribution
* Maintain effective administrative systems and ensure compliance with university procedures
* Triage and respond to internal and external enquiries with professionalism and discretion
* Support the planning and delivery of small events, meetings, and catered functions
* Monitor project timelines and deliverables, ensuring milestones are met and documented
* Maintain up-to-date records, distribution lists, and affiliate databases for the school
About You:
* Demonstrated experience in executive support and office administration in a complex environment
* Advanced proficiency in Microsoft Office suite and diary management systems
* Strong understanding of project documentation, planning, and reporting methodologies
* Experience managing competing priorities and meeting deadlines in a fast-paced setting
* Ability to build and maintain effective relationships with internal and external stakeholders
* Tertiary qualifications in a relevant field or equivalent combination of training and experience
Requirements:
* Unrestricted work rights in Australia for the duration of this employment
