Selection Criteria
Demonstrated high-level administrative and organisational skills, with the ability to manage multiple priorities, meet deadlines, and maintain attention to detail in a busy school environment.
Sound knowledge and experience in financial administration, including accounts payable/receivable, bank reconciliation, BAS preparation, and reporting processes, with the ability to interpret and apply Department of Education financial policies and procedures.
Demonstrated experience in human resources administration, including recruitment, staff records management, and leave processing, with a strong understanding of confidentiality and compliance requirements.
Highly developed interpersonal and communication skills, with the ability to build effective working relationships with staff, leadership, and external stakeholders, and to provide clear guidance and support within a team environment.
Demonstrated capacity to work collaboratively with the Business Manager and school leadership, exercising sound judgement, initiative, and discretion while contributing to a positive and professional office culture.
Role
Attendance requirement for this position: Three days a week (days yet to be determined) 8:00 am – 4:15 pm.
Additional attendance as required *****.
Range 4 is distinguished by broader management responsibility, particularly in the areas of finance, human resource and other support functions.
Range 4 is responsible for managing a range of functions under a wide range of conditions, subject to the size and complexity of school operations.
Objectives will, generally, be clearly defined; guidelines will be broad and day-to-day direction minimal.
Management responsibility extends to ensuring appropriate support levels are maintained across the school.
Range 4 generally provides key support and timely advice to the leadership team and school council and liaises with the general school community, the Department and other government agencies and service providers.
Specialised professional roles will carry a high level of independence and accountability where suitable scope is provided to achieve objectives.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act **** (Vic) or its successor.
Responsibilities
Position Summary
The Staffing, HR & Finance Officer plays a key role in supporting the effective operations of the school's business, human resources, and administrative functions.
Working closely with the Business Manager, this position assists with financial processes, staff management, recruitment, and compliance.
The role also provides leadership to the administration team, ensuring smooth day-to-day office operations, clear communication, and adherence to Department of Education policies and procedures.
Key Responsibilities
Staffing & Human Resources
Manage staff leave applications and maintain accurate personnel records.
Administer all aspects of the staff recruitment process, including advertising vacancies, coordinating interviews, and preparing employment contracts.
Ensure compliance with Department of Education human resources procedures, policies, and employment legislation.
Finance
Assist / support with Accounts Payable and Accounts Receivable functions.
Prepare and complete monthly bank reconciliations and end-of-period financial processes.
Prepare Business Activity Statements (BAS) and compile all financial reports for presentation to the Finance Committee and School Council each month.
Provide support and assistance to the Business Manager with financial and administrative operations.
School Council Support
Prepare and maintain agendas, minutes, and associated documentation for School Council meetings.
Assist in the development, review, and maintenance of school policies.
Coordinate meeting logistics, including catering and distribution of papers.
Office Management
Support the efficient day-to-day operations of the General Office and Administration Team.
Provide guidance, direction, and training to administrative staff as required.
Hold regular administration meetings to ensure effective communication and coordination within the team.
Contribute to maintaining a positive, professional, and welcoming office environment.
Other Duties
Undertake any other tasks and responsibilities as directed by the Business Manager or Principal, consistent with the role.
