About the role:
This role is primarily focused on supporting Project Creation by accurately entering and managing information received from project managers into relevant systems and documentation. It ensures that all project data is captured, organized, and ready for operational execution. The secondary focus is on Mobilisation, where the role ensures that all personnel assigned to a project are properly prepared for site deployment.
Key responsibilities:
- Project setup and configuration, ensuring alignment with client contracts
- Work closely with project managers, finance, and operations teams to support project lifecycle
- Manage ongoing routine maintenance of the office. (A/C, Electrical Test & Tag, Fire Safety equipment)
- Assisting scheduling of fleet vehicle servicing, and technical instrument calibrations
- Coordinate end-to-end mobilisation processes for new and existing personnel, including onboarding, travel, accommodation, and site access
- Ensure all personnel meet compliance requirements, including medicals, inductions, certifications, and background checks
- Undertake general administrative duties as required, including data entry
- Provide back up support when other mobilisation coordinators are away
- Assistance in coordinating visas as required

- Experience in workforce mobilisation or field operations (surveying or construction preferred)
- Familiarity with ERP systems (e.g., NetSuite) and Microsoft Office
- Ability to manage multiple priorities in a fast-paced environment
Key requirements:
- Qualification in Business Administration, Project Management, Logistics or similar (desirable)
- ERP System Proficiency (especially NetSuite)
- Workforce mobilisation or field logistics experience
- Project coordination or administrative experience (desirable)
