Typically, this full-time position involves working in an integrated tender office on large, complex tenders with a duration of 4 to 6 months, as well as providing support for smaller tenders.The Pre-Contracts Administrator will work closely with the Pre-Contract & Submission Teams to prepare all documentation and SharePoint sites for our bids and projects.
Where required, working with the office management function to deliver high quality administrative support and supporting the successful delivery of office support activities.Duties and Responsibilities:Maintain database of supporting documents for all bids.Assisting with the preparation, submission, and tracking of tenders and bids including setting up administration templates to share with the wider team.Initial configuration of Tender SharePoint site.Oversee, audit and manage SharePoint permissions.Ensure SharePoint manuals and user guides are up to date.Serve as the primary point of contact for all SharePoint related communications between internal teams, external clients, and contractors.Assist in organizing and participating in meetings, site visits, and pre-bid meetings to gather information and clarify client requirements.General administrative tasks which may include printing and collating documents, reception duties, and office management support.Management and procurement of office consumables including stationery, kitchen supplies and other related requests from the team.Assist to onboard and train bid administration and office managers where required.Establishment and set up of tender Bid offices as required.Qualifications and Experience:Preferably Bachelor in Business or related discipline, CERT 4 in Office Administration / Business.Minimum of 1-2 years in a similar role.High attention to detail and ability to multitask.Intermediate skills in Microsoft Excel, PowerPoint, SharePoint and MS Word.Well-honed and able to manage competing deadlines.Ability to work independently and be proactive.Ability to develop and maintain positive relationships with key stakeholders.Take charge of critical bid administration and play a key role in ensuring seamless information management—apply now for a rewarding Pre-Contracts Bid Administrator position!
