Overview
Executive Assistant role description: The EA supports the Principal in all aspects of their position and in the running of the school.
The EA must be dependable, show initiative and keep all conversations and information highly confidential.
The Executive Assistant also assists in the HR needs of the school, specifically attending staffing meetings to take minutes and filing of confidential HR documentation.
General Responsibilities
- Manage calendars (Principal and Executive Staff as directed by Principal);
- Create agendas and take minutes for meetings;
- Travel to campuses to attend meetings to support the Principal;
- Prepare/organise catering for meetings as directed by the Principal;
- Gather information to prepare Board Reports;
- Prepare the Annual Report for both DLC & YPC (in conjunction with the Principal);
- Plan events such as PD weeks, Christmas parties, Executive Retreats, College Leadership Days & Presentation Days;
- Work in conjunction with the Communications and Marketing assistant with regard to all marketing and website material;
- Draft emails for the Principal and in some occasions send emails on behalf of the Principal;
- Film the Principal for staff and parent messages (where necessary);
- Process paperwork for example, Invoices, documents needing signing for school events etc.
- Manage the office of the Principal, for example ensuring they have the necessary stationery items, electronic tools etc.
- Management of End-to-End HR processes on behalf of Principal.
Specifically, recruitment, onboarding.
- Support preparation for staff discussions, for example Offboarding processes, in conjunction with Business Manager;
- Ensure calendar has been checked and all agendas and items for meeting are prepared;
- Process any paperwork that has been signed;
- Prepare for the next day;
- Be a listening ear for the Principal – if they need to debrief or need to run an idea – be available;
- Be a gate keeper to the Principal and ensure their time is not wasted;
- Work collaboratively with Business Manager, Heads of Campus and Admin Team;
- Commit to scheduled meeting times;
- Promote a culture of having ‘each other’s back’;
- Help each other out;
- Pray with and for staff;
- Actively participate in devotions and corporate prayer;
- Any other reasonable direction that is within the limits of your skills, competence, training and/or experience as given by your supervisor.
