EcoSmart Solar is a well-established solar company based in Rockhampton, delivering high-quality solar solutions for homes and businesses across Central Queensland.
We are seeking a highly organised and proactive Office & Operations Administrator to join our team and support the coordination of our office and operational workflow.
This role works closely with our Operations Manager, assisting with administration, job coordination and maintaining the systems that keep the business running smoothly.
This position is ideal for someone who enjoys being organised, working with systems, and supporting a busy team.
About the Role
In this role you will support the day-to-day administration of the business and assist the Operations Manager with coordinating office and operational activities.
Key responsibilities include:
• Managing incoming enquiries via phone and email
• Coordinating job bookings and scheduling through ServiceM8
• Supporting the sales team with administration including lead management, data entry and document preparation
• Assisting with invoicing and administration in Xero
• Managing customer information and leads through HubSpot
• Processing and managing Ergon applications
• Managing stock levels and ordering materials
• Maintaining accurate records and documentation
• Supporting the Operations Manager with general administration and operational coordination
About You
To succeed in this role you will be organised, proactive and confident working across multiple systems.
You will have:
• Previous experience in an office administration or operations administration role
• Experience using ServiceM8, Xero and HubSpot (highly desirable)
• Strong organisational skills and attention to detail
• Excellent communication and interpersonal skills
• The ability to manage multiple priorities and stay organised in a busy environment
• A proactive mindset and ability to solve problems independently
• Confidence working with systems, processes and digital platforms
• The ability to work both independently and collaboratively
