With a strong reputation for craftsmanship and innovation, they are experiencing unprecedented growth and are now seeking an experienced Office Manager to join their dynamic team.
Your new role
As the Office Manager, you will play a pivotal role in supporting the day-to-day operations of the business. You'll be the backbone of the office, ensuring everything runs smoothly while providing administrative support to the directors and project teams. Key duties of the role involve the following:
* Oversee day-to-day office operations and reception
* Maintain office supplies and equipment
* Manage a low-traffic reception area and general enquiries
* Process incoming invoices and job costing
* Manage accounts payable/receivable and trade account setups
* Liaise with external Bookkeeper and Accountant
* Check timesheets and assist with payroll coordination
* Collate tender packs and communicate with subcontractors
* Compile quotes and assist with procurement
* Provide general support to the estimating team
* Prepare contracts and organise insurances
* Set up WHS plans and issue purchase orders
* Maintain procurement schedules and support Project Managers
* Coordinate warranties with subcontractors and suppliers
* Compile client handover documentation
What you'll need to succeed
* A self-sufficient, quick learner who can take initiative and make decisions confidently.
* Experience in office management within a small business, with the ability to wear multiple hats.
* A passion for administration and a drive to keep things organised and running smoothly.
* Strong communication and multitasking skills.
* Experience with Xero is a bonus, although not essential.
* Someone looking for a long-term role where they can take ownership and grow within the business.
