The Role
Reporting to the Assistant Secretary, the Executive Assistant is responsible for providing high-level executive administrative support and office management, such as diary management, travel arrangements, note-taking, general correspondence, meeting coordination, document preparation and records management. The Executive Assistant is the primary point of contact for the office and must demonstrate and uphold the Australian Public Service (APS) Values at all times. The successful candidate should be able to maintain discretion, exercise initiative, and sound judgement to achieve results.
Duties and Responsibilities
The Skills and Training Group are seeking applications for Executive Assistants (EA) at the APS 4 level. Our ideal candidate will have strong administrative and organisational skills and be able to hit the ground running. The successful candidate should be able undertake various support and coordination activities while maintaining discretion, exercising initiative and sound judgement to achieve results.
The EA will work alongside the divisional EAs/EO and Branch Directors to provide advice and assistance to internal and external stakeholders support the broader priorities of the Division.
Our ideal candidate will have the ability to:
* Manage diaries and anticipate requirements for meetings, ensuring briefing materials are prepared, including Senate Estimates, and undertake secretariat functions when required.
* Managing branch coordination activities and assisting with workflow management, ensuring tasks are completed, deadlines are met, with the right level of priority placed on them.
* Communicate effectively with sound written and verbal communication skills.
* Understand the role and functions of the branch and understand of how these relate to the Department’s goals and priorities.
* Provide back-up and support to other support staff in the Division.
* Preparing minor correspondence, minutes and other written material as directed.
* Administering procurement activities and payment of invoices as directed.
* Book and manage travel.
* Maintain accurate records, adhering to DEWR systems and clearance processes.
* Manage the Branch workload and forward plan, including numerous coordination tasks.
* Aiding the branch with accommodation/property needs, committees, branch meetings or events and liaison with internal and external service providers to ensure issues are quickly resolved.
* Support a culture of collaboration and positivity across the branch.
Qualifications and Education
Essential: Customer service or administrative experience

Eligibility
