As we continue to grow, so too does our team. We are looking for the right candidate to take on the role of Project Controls Coordinator. This is a Full-Time role based at our Port Macquarie site.
Position Overview
The Project Controls Coordinator will be instrumental to both the Operations and Project teams in assisting the management of external communications, data and documents, and reporting for projects at the Port Macquarie site.
A significant part of the role entails maintaining clear and constant communication and engagement with all members of the operations and project teams informing and reminding them of upcoming deliverable and milestone dates as well as gathering information for month end reporting and analysis. Due to the team based and interactive nature of the role, this is a facility-based role with limited opportunity for remote work.
Key Accountabilities
* Job file management. Both electronically and manually in line with Birdon business systems.
* Manage project correspondence with clients and sub-contractors including maintenance of project correspondence registers.
* Delivery of month-end analysis and reporting into Project and the Central Finance Teams on job cost, schedule progress and inputting into Project Earned Value Management reporting processes.
* Work closely with Finance, Project Teams, and the Scheduler to oversee cost code and resource booking processes, ensuring accurate labour cost capture.
* Ensure head contract and subcontract cost reporting meets project and contract obligations.
* Assistance, development and support to team ensuring Contract Data Requirement Items, key monthly, quarterly and annual deadlines are achieved.
* Working with the Industry Engagement Mangager to set up and report on Australian Contract Expenditure for relevant projects.
* Administration of subcontractor engagement and costs including reviewing and checking final invoicing.
* Assisting with management of technical schedules and reports
* Administrative tasks associated with maintaining alignment of commercial and technical information between the various information repositories including the Microsoft Office Suite, CAD models and relevant databases.
* Management of commercial and technical data transfer between subcontractors, suppliers and Birdon.
* Work closely with the project team to ensure that information and data is consistently presented, effectively managed and secured.
* Ad hoc involvement and support in wider project activities including preparation of presentations and other duties as assigned.
Qualifications, Experience and Skills
* Highly motivated and effective team member capable of building and maintaining professional relationships.
* Prior experience in a Project Controls Coordinator or similar role.
* Ability to prepare project reporting, including forecasts, along with other management reports.
* Excellent time management skills, shows initiative, with good communication skills, and ability to prioritise tasks.
* Able to work well under pressure in a collaborative team environment.
* Strong attention to detail and procedural mindset.
* Prior experience with schedule or budget management.
* Experience in project controls within Defence or Maritime projects.
