Purpose of Position
The School Business Manager is a senior leadership position responsible for providing strategic, financial, and operational leadership across a multi-campus, multi-school network comprising seven campuses located in Wodonga, Shepparton, Benalla and Seymour.
The role supports a community of over 1,300 students and more than 250 staff, ensuring the effective, compliant and sustainable management of financial, physical and human resources across geographically dispersed locations.
Objectives
Manage the day-to-day running of the college in a professional manner.
Ensure the financial, personnel, physical, governance and administrative records are maintained efficiently and in accordance with Department of Education guidelines.
Maintain effective lines of communication with all members of the college community, including Flexible Learning Centres.
Responsibilities
Deliver School Services
Manage the design and production of school publications and documents.
Financial Management
Prepare annual School Council budget and regularly oversee and review all aspects of financial transactions reporting to the Campus Principal, Finance Committee and School Council.
Direct the preparation of annual budgets and regular financial statements; contribute to financial decision-making for the school and oversee the overall allocation of funding from the Student Resource Package (SRP).
Manage the college's purchasing cards, authorising transactions and credit limits.
Coordinate all financial audits and acquittals, ensuring processes are followed.
Provide advice to staff on spending against budget for faculties, programmes and other school projects.
Administer government grants and other funding for all campuses.
Support School Council
Attend and present the school's financial position on a monthly basis to the School Council and Finance Committees.
Prepare all finance and School Council minutes and agendas.
Provide financial input to develop processes that improve work practices.
Planning and Organisation
Deliver best practice work processes to achieve the delivery of quality administrative and customer service to the school community across all campuses.
Advisory and support for planning and implementation of proposed capital works, maintenance and general building and grounds projects for all campuses.
Support education support staff, including all Flexible Learning Centres.
Organise and prioritise procedures and tasks to ensure efficient workflow within the main office staff.
Promote a culture of accountability, collaboration, confidentiality and continuous improvement.
School Systems and Operations
Manage the cleaning, waste removal and hire of facilities agreements for the college, including insurance portfolio for all buildings and motor vehicles.
Advise on workcover claims, Edusafe, OHS issues as required.
Liaise with campus principals on financial matters, staffing, grant funding, professional development, excursions, risk management and motor vehicles.
Other Duties
Manage the operation of the college bus fleet across all campuses.
Oversee financial approval for all excursions and staff professional development requests at all campuses.
Contribute to policy development and continuous improvement across all campuses.
All duties performed as directed by Campus Principal.
Selection Criteria
Highly developed interpersonal and leadership skills with proven experience in building and sustaining positive relationships across multiple campuses and diverse teams.
Demonstrated exemplary financial analysis, management and reporting skills, with proven capacity to manage complex, multi-campus budgets and resources within the Student Resource Package framework.
High-level understanding and application of CASES21 Finance and related school management systems, with capacity to ensure data integrity, compliance and consistent financial processes across campuses.
Ability to lead, coordinate and support education support staff across multiple campuses, fostering collaboration and consistent practice.
Strategic and operational leadership across functional areas such as Facilities Management, OHS, Human Resources, Time in Lieu provisions and Risk Management.
Organisational and strategic planning skills, with proven experience in implementing efficient administrative systems that support large-scale operations.
Expertise in whole-school strategic planning, policy development and continuous improvement initiatives.
Minimum Requirements
Current Working with Children's Card.
A satisfactory police criminal check.
Hold tertiary qualifications in Finance/Accounting related field.
Minimum of 5 years experience in managing a team in a multi-campus educational environment.
High level of skill with Microsoft Office suite.
Previous working experience as a School Business Manager is desirable.
