Role summary Provide administrative and clerical support to keep the office running smoothly: manage communications, coordinate schedules, process invoices and support project teams with documentation and basic bookkeeping.
Key responsibilities
* Answer and route phone calls and emails; maintain professional client communications.
* Manage calendars, schedule meetings, book venues and coordinate appointments.
* Prepare, format and proofread documents, reports, presentations and correspondence.
* Process invoices, expense claims and basic bookkeeping entries; liaise with external accountants as required.
* Maintain and organise filing systems (digital and physical); update contact and client records.
* Support project coordination: track deliverables, update task lists and assist with resource bookings.
* Order office supplies, manage supplier relationships and handle courier arrangements.
* Greet visitors, manage meeting-room setup and provide general reception duties.
* Assist with simple HR tasks (onboarding paperwork, leave records) and maintain confidentiality.
* Undertake ad-hoc tasks and small projects as requested by management.
Qualifications & skills
* Post‑secondary certification or equivalent experience in administration, office management or related field.
* 1–3 years' experience in administrative roles preferred.
* Strong organisational skills, attention to detail and time management.
* Proficient with MS Office (Word, Excel, Outlook) and common office systems; experience with cloud tools (Google Workspace) advantageous.
* Basic bookkeeping familiarity (Xero, QuickBooks) preferred.
* Excellent verbal and written communication skills.
* Professional, discrete and able to handle confidential information.
* Ability to prioritise tasks and work independently or in a small team.
Work environment & physical demands
* Office-based role with routine desk work and occasional light lifting (office supplies). May involve some client site visits.
