David Scott School is a specialist secondary school supporting young people who have experienced significant barriers to education. The school provides flexible, student-centred pathways focused on engagement, wellbeing, and positive outcomes.

David Scott School operates as part of the Brotherhood of St Laurence. While the school is supported by BSL's broader governance and organisational frameworks, this role works within David Scott School and supports the day-to-day operations of the school.

Position Purpose

This role supports the smooth daily operations of the school by coordinating key administrative, enrolment, and compliance activities. It oversees the efficient management of office systems, student data, and staff processes, while assisting with facilities, finance, and event coordination.

The role also contributes to continuous improvement in school operations, ensuring policies, procedures, and compliance requirements are implemented and maintained.

Key Responsibilities

Administrative and Operational

• Provide business and operational support to staff, students, and stakeholders

• Support the management of Compass education systems

• Manage and monitor student attendance data and follow up absences as required

• Maintain accurate student and staff records, including secure storage and archiving

• Coordinate office supplies and resource provisioning

• Assist with school events, communications, newsletters, assemblies, and reports

• Prepare and format school documentation and correspondence

• Manage student reporting periods, templates, and timelines

• Prepare and submit CSEF and Conveyance Allowance applications

• Assist with school funding and reporting submissions

• Support recruitment systems and leadership as directed

• Maintain induction processes and deliver staff induction, training, and review

• Assist with facilities coordination, servicing, and maintenance scheduling

• Support financial administration including invoices, purchase orders, and reimbursements

• Maintain key school calendars and scheduling

Process Improvement and Data Management

• Review administrative workflows to improve efficiency and consistency

• Monitor recordkeeping practices, version control, and archiving

• Update operational forms, templates, and procedures

• Support Microsoft approvals and workflow automations

Compliance and Risk

• Support emergency management processes and documentation

• Coordinate compliant enrolment processes

• Support ongoing compliance activities, training, and policy implementation

• Provide accurate compliance information to school leadership

• Support school registration compliance and risk management

• Assist with audit preparation and committee reporting

• Support integration and use of compliance systems including CompliSpace

• Undertake duties in line with OHS requirements

General

• Work collaboratively to achieve shared outcomes

• Contribute to continuous improvement activities

• Set goals with your manager and work toward agreed outcomes

• Model organisational values and Code of Conduct

• Maintain a safe working environment

• This role involves direct or indirect contact with children and young people

• Other duties as required

Key Selection Criteria

Career Experience

• Broad experience across administrative services and processes

• Strong focus on compliance and risk management

• High-level written communication skills including reports and minutes

• Well-developed interpersonal skills across diverse stakeholders

• Strong organisational and workload management skills

• Knowledge of school registration standards including VRQA and VCAA

• Experience working in a school environment

• Knowledge of education and youth services is desirable

Personal Qualities

• Strong commitment to child safety, equity, inclusion, and cultural safety

• Alignment with the values and purpose of David Scott School and the Brotherhood of St Laurence

Qualifications and Requirements

• Qualification in Business Administration or equivalent is desirable

• Right to work in Australia

• Working with Children Check

• National Police Check
