We're seeking an adaptable and proactive Office All-Rounder to join our team and help keep operations running seamlessly across all areas of the business.
About the Role
This is a diverse position suited to someone who enjoys variety and thrives on multitasking. You'll play a vital role in supporting day-to-day office functions, assisting the management team, and stepping into key areas as needed, including clinical support, finance, event coordination, and sales support. No two days will look the same
Key Responsibilities
* Provide administrative support to the management team, including calendar management, meeting preparation, coordinating interviews, onboarding new staff, and processing leave applications.
* Oversee general office administration, including answering phones, ordering supplies, and arranging travel bookings for both management and clinicians.
* Assist with clinical and finance team tasks during leave periods or busy times.
* Order and track clinical consumables for clients and facilities.
* Coordinate external education events and workshops — managing scheduling, logistics, communications, and sponsorships in collaboration with the Director of Operations.
* Support sales activities, including preparing proposals when required, updating CRM records, sending monthly database emails, and assisting with quarterly reporting.
* Assist with ordering and distribution of marketing materials as needed.
* Liaise with clients, suppliers, and team members across departments to ensure smooth communication and delivery of services.
* Manage the purchase and registration of online modules.
* Monitor and maintain nursing staff compliance and training requirements in partnership with the Clinical Director.
About You
* Previous experience in a multi-functional admin, PA/EA, sales support, or office support role.
* Strong organisational and multitasking skills — you thrive on variety.
* Excellent written and verbal communication skills.
* Proficiency with Microsoft Office (Word, Excel, Outlook) and comfortable learning new systems/software; CRM experience desirable.
* Able to work independently, proactively, and as part of a busy team.
* Professional, approachable, and discreet when handling confidential information.
* Prior experience in healthcare, finance admin, sales support, or event coordination is an advantage but not essential.
