Administration Officer (Part-Time) — Wollongong

Salary: $34.58 per hour + superannuation
Sydney Health & Care Services (SHCS) is growing in Wollongong, and we're looking for a proactive Administration Officer to keep our front office humming, data accurate, and communications clear. You'll be the friendly first point of contact and a reliable backbone for our managers and coordinators.
Your Hours
Part-time position (20 hours per week)
10am to 2pm - Monday through to Friday (5 days a week)
What You'll Do
* Front desk & admin: Reception, handling enquiries (phone/email), filing, scanning, distributing mail, managing supplies.
* Data & systems: Enter and maintain information in ShiftCare, BambooHR, Microsoft Office, SharePoint, and internal registers.
* Docs & reporting: Prepare correspondence, routine reports, and templates as directed.
* Rostering support: Update ShiftCare after manager approval; prepare draft schedules for review.
* Scheduling & calendars: Coordinate diaries, book appointments/interviews, organise meetings, and maintain shared calendars.
* Meeting room prep: Book venues, set up tech (video links, screens), prepare agendas/packs, take minutes, and track follow-ups.
* Worker & client comms (after approval): Call workers to confirm attendance or shift changes; notify clients of confirmed updates.
* Compliance & records: Upload/rename documents, maintain records securely, generate upcoming/expired document reports, and send templated reminders.
* Support functions: Assist with incident report logging, training coordination, and onboarding paperwork.
About You
* Previous admin experience in a busy, service-oriented environment.
* Confident with Microsoft Office and quick to learn systems (ShiftCare, BambooHR, SharePoint a plus).
* Strong communication skills — clear, professional, and friendly.
* Organised, reliable, and attentive to detail.
* Respectful of confidentiality and compliance requirements.
* Australian citizenship or permanent residency with unrestricted work rights
* Ability to obtain National Police Check, NDISWC, and Working with Children Check
Nice to have:
* Experience in community, disability, health or allied health settings.
* Familiarity with SCHADS and NDIS context.
