Sales Operations Manager

The Opportunity: Be the Engine of a High-Performing Real Estate Office

Are you a systems thinker, and a natural 'implementer' who thrives on making a business run smoother, smarter, and faster?

We are seeking a proactive and highly skilled Sales Operations Manager to be a senior leader within our real estate office. This is not a junior administrative role; it's a critical management position responsible for driving operational excellence, leveraging technology, and ensuring our sales team has the best support, systems, training, and data to outperform the market.

Key Responsibilities & Focus Areas

The Sales Operations Manager is the ‘implementer’ and ‘troubleshooter’ of the business, overseeing all sales listings and operations.

1. Systems, Process & Leadership

- System Implementation: Act as the lead for creating and implementing new, high-level operational systems and processes (e.g., setting up new workspaces and boards in Monday.com etc.)

- Technology Mastery: Deeply understand and manage our core technology suite, including NurtureCloud, VaultRE, Google Systems, and client feedback platforms like Forsta (NPS) to maximise adoption and performance across the office.

- Virtual Assistant (VA) Management: Strategically manage VA tasks and processes, continually assessing and migrating existing job roles to VAs to increase in-office capacity and efficiency.

2. Data, Performance & Reporting

- Statistical Analysis: Track, monitor, and report on key performance indicators (KPIs) such as appraisal, listing, sale, and settlement numbers to identify actionable trends, month-on-month and year-on-year.

- Reporting & Communication: Use statistical insights from NurtureCloud for one-on-one agent performance reviews and provide weekly statistical updates to the entire team.

- Database Health: Create and manage rigorous database health checks to ensure data quality, integrity, and future value.

- Client Feedback: Manage client feedback mechanisms (Forsta) and drive initiatives to increase Google reviews.

3. Team Development & Culture

- Training & Coaching: Conduct regular training sessions with the sales team to ensure high adoption and effective use of all systems and processes.

- Culture & Inclusivity: Play a key role in leading team culture, planning company events and promoting a positive, inclusive office environment.

- Recruitment & Support: Assist with staff recruitment, onboarding, offboarding, and provide redundancy support for admin and campaign managers during peak times or leave.

4. Operational & Directorial Support

- Quality Assurance & Compliance: Ensure a consistent, high-level of quality and compliance in all sales administration, listing management, marketing materials, and client communication.

- High-Level Support: Provide direct support to the Director on day-to-day business activities and attend management and sales meetings as a senior member of the team.

- Client Care: Manage client care programs, including direct outreach to vendors, purchasers and key stakeholders at key stages to enhance the client journey.

Skills & Qualifications

- Proven experience in an Operations Management or Sales Operations role, preferably within a high-growth sales setting.

- Desirable: Previous knowledge or experience in real estate operations, compliance, and/or conveyancing processes.

- Exceptional technological acumen with a proven ability to implement and manage CRM, project management (e.g., Monday.com), and data systems.

- Strong analytical skills with the ability to interpret data and create actionable business insights.

- Excellent communication skills, both written and verbal, with confidence in delivering team-wide training sessions / meetings.

- Superior organisational skills, a proactive, self-educating approach and a focus on continuous improvement with a keen eye for attention to detail.

- Must be positioned as a senior, non-junior member of the office, capable of independent problem-solving and strategic thinking.
