St Laurence's College is a Catholic boys school in the Edmund Rice tradition operated by Edmund Rice Education Australia (EREA). The College provides a diverse range of programs to meet the educational needs of the students and its Vision & Mission.

The International Student Coordinator is appointed by, and responsible to, the Principal and operates within the parameters for Edmund Rice Schools as established by EREA.

1. POSITION PURPOSE

The International Student Coordinator is responsible for developing and implementing student recruitment and retention strategies that maximise and maintain international student enrolments at the College. Responsibilities also include ensuring data accuracy, compliance and operational efficiency within the international student sector.

2. POSITION REQUIREMENTS

* Openly supports the Christian values of the College
* Wears Photo Identification Card when on duty
* Implement College policies with regard to Workplace Health & Safety compliance obligations and reporting processes with regard to any injuries that may occur with students or staff
* Relevant tertiary qualification and/or demonstrated experience
* Current Blue Card (Commission for Children and Young People and Child Guardian Act 2000).
* Meets the requirements of the Selection Criteria on page 5 of this document.

3. POSITION RESPONSIBILITIES & DUTIES

Key Responsibility 1 – Mission/Ethos

Duties:

* Have an understanding of, commitment to and support for the mission and ethos of a Catholic school in the Edmund Rice tradition
* Establish positive relationships with members of the College community, including engaging in the pastoral care of students and supporting their spiritual and moral development
* Engage with and support the implementation of the Charter for Catholic Schools in the Edmund Rice Tradition within the College.

Key Responsibility 2 – International Student Program Coordination

Duties:

* Manage the administrative management of the International student program including but not limited to managing enrolment enquiries, coordinating the pipeline from enquiry to commencement and organising student interviews
* Work collaboratively with the Heads of House, Heads of School and College Deans in the welfare and pastoral care of International students, including regular meetings regarding student needs, holiday arrangements, attendance, course progress and adjustment to College life
* Act as the Principal's delegate in pastoral care matters for International Students, during and outside of school hours
* Represent the College by fostering positive relationships with international parents, homestay families, agents and students, including ongoing communication and support for overseas parents and guardians
* Facilitate the student homestay process by coordinating with Australian Homestay Network and other homestay network partners, managing administrative tasks, conducting interviews and maintaining regular communication and meetings with homestay families and stakeholders
* Manage and audit partnerships with Agents, including regular agent visits
* Liaise with English Language Schools including but not limited to building relationships, monitoring student performance and conducting student visits
* Facilitate Short Term Study and Study Tour programs, including advertising, preparing promotional materials, liaising with agents and arranging homestay placements as required
* Guide the organisation and delivery of orientation programs for incoming International students to assist with their transition to the College.

Key Responsibility 3 – International Enrolment Data Management and Administration

Duties:

* Lead the administrative facets of the International Student Program, including coordinating collection, maintenance and enhancement of student records and correspondence through College systems (Funnel, TASS, Office 365)
* Maintain College and student information within PRISMS and other affiliate programs
* Manage the administrative requirements associated with International Student visas, including but not limited to weekly monitoring of student attendance, ensuring compliance with VISA, COE and CAAW documents plus liaising with relevant authorities to maintain up-to-date records
* Provide general information and reports on International students to Heads of House, Heads of School and other College staff as needed
* Provide updates for the College website and Agent websites with current application forms, International Student Handbook and policies.

Key Responsibility 4 – Compliance, Policy Development and Confidentiality

Duties:

* Manage the College's CRICOS registration ensuring documentation and processes are current and correct, including ensuring College staff are abreast of requirements
* Ensure up-to-date knowledge of relevant legislation, compliance and policies from PRISMS, CRICOS, and ESOS and update and/or rewrite College policies and procedures as required to maintain CRICOS registration and compliance
* Manage policies and procedures pertaining to International Students plus assist as required with general Enrolment related documentationEnsure all enrolment data is managed in accordance with relevant legislation, College policies and best practices for data privacy and security
* Provide statistical data and information to government departments (State and Federal Census; CRICOS registration etc) and assist the Dean of Business and Finance with audit visits arising from the submission of data to government agencies
* Exercise discretion and confidentiality in handling sensitive information, maintaining the trust of families and the College community.

Key Responsibility 5 – Advancement of International Student Program

Duties:

* Represent the College through attendance at domestic and international expos including conducting meetings with off-shore families
* Conduct campus tours and meetings with agents, potential families and students, providing information about the International Student Program and the College's offerings
* Attend regular updates from ISQ and other leading organisations regarding International students.

Key Responsibility 6 – Other

Duties:

* Participate and assist in facilitating College enrolment related events and activities including Principal's Tours, Open Day, Orientation Day etc
* Actively participate as a member of the College Advancement Team to assist in the development and implementation of strategies and policies that further enhance the College's strategic plan and image to the wider community
* Assist and cover other Advancement operations where required, as a member of the Advancement team.
* Carry out all other duties and/or tasks as directed from time to time by the Director of Advancement and/or Principal.

4. COMMITTEE MEMBERSHIP

* Educate Plus
* QASR (Queensland Association of School Registrars)
* Attendance or membership at any other Committee, as directed by the Director of Advancement and/or Principal.

5. ORGANISATIONAL RELATIONSHIPS/EXTENT OF AUTHORITY

This position reports to the Director of Advancement, but is responsible to the Principal.

6. WORKPLACE HEALTH & SAFETY RESPONSIBILITIES

The College is bound by the provisions of the Work Health and Safety Act 2011 (the Act) which provides the legislative framework for workplace safety in Queensland. It is the responsibility of each employee to be familiar with the College's policies and procedures associated therewith. All Supervisors must ensure that no employee is required to undertake a task without adequate safety instructions and job specific training, but it is the responsibility of all staff to report all hazards and/or incidents/injuries that occur to the Director of Human Resources and/or Principal. Any serious breach of the Act could lead to disciplinary action.

7. GENERAL TERMS OF APPOINTMENT

* All employees are bound by the expectations contained in the Edmund Rice Education Australia Principles of Employment and the Vision and Mission of St Laurence's College.
* Much of the information gleaned by staff during the course of their duties is confidential and should be treated as such. Staff must not use confidential information to gain advantage for themselves, their related persons or for any other person or body, in ways, which are inconsistent with the obligation to act impartially. Nor should such information be used improperly to cause harm or detriment to any person of the College.
* All employees recognise and accept that multi skilling is an essential component of the College and all employees may be required from time to time to undertake duties that are outside their normal position description but within their skills, competency and capability.

8. REMUNERATION & HOURS

Tenure: Permanent, full-timeWork days: Monday to Friday; 7.45am – 3.50pmTime in lieu, where applicableSalary: School Officers AwardLevel 5Terms & Conditions: Please refer to letter of appointment.

Selection Criteria

Selection Criterion 1 – Qualifications/Experience

* At least 3-5 years' experience in a similar role, preferably with CRICOS regulation and compliance within a school environment
* Relevant tertiary qualification and/or demonstrated experience
* An ability to relate to people from diverse backgrounds and cultures
* An ability to speak other languages, highly desirable but not essential
* Maintain current skill levels with training programs, as required
* Hold a current First Aid Certificate; or be willing to secure a First Aid Certificate
* Hold a current Drivers Licence
* Hold a current Passport; or be willing to secure a Passport
* Hold a current Paid Blue Card; or be eligible to apply for a Suitability Card for working with children.

Selection Criterion 2 – Administration Skills

* Demonstrated strong administration skills; having the ability to work with a high degree of autonomy and limited supervision
* Demonstrated strong time management and organisation skills with the ability to work well under pressure and to meet deadlines; and be able to respond rapidly to change.

Selection Criterion 3 – Technical Skills

* Demonstrated strong computer skills in all Microsoft applications
* Advanced database knowledge, particularly in relation to Government databases (i.e. PRISMS, ImmiAccount), TASS and Digistorm program suite preferred.

Selection Criterion 4 – Communication Skills

* Strong interpersonal skills and an ability to build relationships with a wide range of stakeholders and the ability to represent the College in a professional manner
* Strong writing, editing and oral communication skills
* Ability to exercise confidentiality, judgment and discretion in all matters relating to College enrolments and other business
* Commitment to meet quality standards; and the willingness to update their skills and knowledge on a regular basis
* Ability to work with and commitment to assisting with student pastoral care of students
* Ability to work collaboratively in a team environment.

Selection Criterion 5 – Christian Ethos

* A strong commitment to the Mission and ethos of the College.
