As a Wesfarmers Business, API is the parent company of Priceline Pharmacy, Soul Pattinson Chemists, Pharmacist Advice and Clear Skincare Clinics. We currently have an opportunity for a Part-Time (3 days per week) Finance Administrator to join our team on 12-month contract.
The Finance Administrator will be responsible for Consolidating all fleet activities from around the business, collaborating with the various teams to get a safe, efficient and top of class Fleet program for API. The Finance administrator will be responsible for managing all API Corporate Credit Cards, and the Promaster expense Management System. Reporting directly to the Treasurer, the successful incumbent will assist and support the Treasury team, and its related tasks.
**About the Role**:
**The responsibilities for this role include, but are not limited to:
- Driver Inductions: Including ensuring all drivers have completed the safe driving induction on Success Factors
- Flagging at risk drivers and getting them to complete further driver training if required
- Order current vehicles
- Manage the return of old vehicles
- Check monthly invoices and query charges
- Follow-up overdue services report
- Ongoing Management of fleet projects for Continuous Improvement
- Manage the Novated Lease program for API
- Staff Deductions: Extract / Reconcile / Payment / Submission
- Management of API Corporate credit cards
- Management of Promaster expense Management System (including governance, creating and follow-up of personal expenses on API credit card, site maintenance, account management)
- Assist in the preparation of daily and monthly Bank Reconciliations, and actioning relevant investigations & journals to action variances
- Assist with daily Treasury banking processes, facilitating the payment upload processes within NAB and Westpac and coordinating the dual authorisation of payments.
- Assist with ad hoc enquiries or requests relating to banking, deposits, merchant facilities
- Other Treasury support for Treasurer and Group Financial Controller
**About you**:
- Excellent attention to detail with high level of accuracy
- Advanced Computer literacy including advanced Microsoft Excel (V Lookups, Pivot tables, proficiency with formulas
- Treasury and accounting experience preferred
- Need to have worked in a similar high demand administration role with the ability to prioritise, meet time frames and deadlines
- Excellent communication skills, written and oral whilst dealing with internal and external stakeholders
- Ability to work well within a team environment and individually
- Ability to prioritise jobs and meet deadlines
- Experience in conflict management
- General accounts understanding with emphasis on expense management
- Act in a confidential and discreet manner
- Strong skills in Microsoft suite
- Demonstrated ability to work collaboratively in a positive culture where high performance, quality and service are valued
**Qualifications:
- VCE or equivalent
- Tertiary qualifications in Administration or Finance
