HOTA, Home of the Arts Precinct

This role will be based at HOTA, Home of the Arts. HOTA is an iconic Gold Coast destination where art, entertainment, culture and lifestyle meet. A place that locals love and visitors must-see. HOTA offers a diverse suite of venues and facilities, including a gallery, outdoor stage, indoor theatres and cinemas, function and events rooms, as well as a range of food and beverage venues including the HOTA Café, the rooftop Exhibitionist Bar and three hat Palette Restaurant.

At the heart of HOTA's identity is a rich and diverse program: live music, theatre, dance, comedy, film, visual art exhibitions, children's shows, community workshops, and festivals - all taking place across the array of venues.

About the Role

The Venue Booking Manager is responsible for leading the Venue Booking team, managing all venue hire enquiries, and converting them into confirmed business. This role oversees the coordination and delivery of performance events for commercial and community hirers across the precinct.

With a strong commercial focus, the Venue Booking Manager proactively seeks new business opportunities, aligning venue hire activities with the Arts and Culture Strategic Plan.

Working collaboratively with internal teams, the role ensures efficient scheduling of performance venues, balancing commercial outcomes with programming requirements and stakeholder needs. The Venue Booking Manager also supports the Commercial Lead in building and maintaining strong relationships with promoters, producers, and industry partners nationally and internationally.

Key Responsibilities

Team Leadership & Operational Management

* Lead the day-to-day operations of the Venue Booking team, providing training, support, and guidance to Venue Booking Coordinators.
* Represent the Venue Booking team at working groups, leadership meetings, and information sessions as required.
* Foster a collaborative, high-performance team environment focused on client service and commercial outcomes.
* Continuously review and improve systems, processes, and procedures to ensure efficiency and best practice.

Client & Venue Coordination

* Manage and support venue hire activities across a range of events, including live performances, workshops, filming, functions, and outdoor precinct presentations.
* Provide accurate and timely venue cost estimates to clients and stakeholders.
* Coordinate hirer contracts and agreements, ensuring all documentation is clear, complete, and compliant.
* Arrange and attend client production meetings to ensure smooth event delivery and stakeholder alignment.
* Oversee the reconciliation of event financials and settlements, ensuring accuracy and accountability.
* Maintain accurate records of all bookings, contracts, and client correspondence.

Commercial & Partnership Management

* Actively coordinate, deliver, and manage partnership agreements to maintain positive relationships and uphold contractual obligations.
* Provide reports and insights to the Commercial Lead and other departments as required.
* Monitor and report on venue occupancy, financial performance, and other key metrics to inform decision-making and drive commercial outcomes.
* Attend weekly operations meetings to ensure alignment across departments and effective event delivery.

Systems & Administration

* Utilise venue and event management systems (e.g., Artifax/Tessitura) to manage the venue diary, maintain accurate records, and support efficient operations.
* Ability to brief stakeholders via Work OS
* Manage all administrative functions related to venue bookings, including phone and email enquiries, correspondence, and database management.
* Ensure timely and accurate reporting of venue utilisation and performance against KPIs.

General Requirements

* Manage multiple events and tasks simultaneously, maintaining attention to detail and meeting deadlines.
* Maintain a flexible approach to work hours, with the expectation of occasional work outside standard hours, reflected in the salary.
* Perform any other duties and responsibilities within the scope of the role, as reasonably requested from time to time.

Knowledge and Experience

* Relevant experience in a similar role, preferably within venue operations, events, or arts administration.
* Demonstrated knowledge of large venue operations and general theatre systems.
* Experience in monitoring budgets, creating accurate quotations, and managing costings for events or venue hire.
* Knowledge of the local arts community and school networks. (desirable).
* Industry knowledge and contacts within the arts, culture, or events sector
* Advanced office administration skills and computer literacy, including experience with event management systems and databases.
