About the Role
As the first impression of the business, you will play a key role in ensuring all visitors, callers, and stakeholders are welcomed and supported in a friendly, responsive, and professional manner. Reporting to the Office Manager, you will provide broad office administration and secretarial support across the organisation.
Key Responsibilities
* Greet visitors and manage incoming calls in a professional and welcoming manner
* Accept deliveries, maintain delivery registers, and distribute items to staff
* Organise couriers (local, interstate, and international)
* Maintain tidiness of reception, meeting rooms, boardrooms, and common areas
* Coordinate bookings and usage of meeting rooms for meetings and training sessions
* Plan travel itineraries and support conference arrangements
* Assist with company events, staff engagement activities, and training sessions
* Manage office stationery orders and handle staff expense claims
* Maintain meeting minutes and support follow-up actions
* Assist with ad-hoc administrative tasks as required
To be successful in this role, you will have:
* At least 2 years' relevant experience in an office administration or similar role
* Excellent interpersonal skills and professional presentation
* A warm, confident, and polished phone manner
* Strong organisational skills with high attention to detail and accuracy
* Solid computer skills, particularly in Microsoft Office
* Strong written and verbal communication skills
* Native-level English, with an understanding of Chinese culture (highly regarded)
