Currently we are looking for an enthusiastic and proactive individual to join our clinic as an Administration Officer. This is your chance to work in a growing practice that values the contributions of every team member and fosters a collaborative work culture.
About the Role
As our clinic Administration Officer, you will be the first point of contact for our patients, providing top-notch customer service and administrative support to our healthcare team. You'll play an integral part in ensuring the smooth day-to-day operation of the clinic, helping us maintain a positive and professional environment for both patients and staff.
Key Responsibilities
* Warmly welcome and assist patients, carers, and visitors to the clinic.
* Manage phone calls, emails and text message communications with professionalism.
* Schedule and confirm patient appointments; coordinate with healthcare practitioners and external providers.
* Process payments, prepare and send invoices and manage clinic communication, including medical correspondence.
* Maintain accurate patient records, handle data entry and manage diary systems.
* Support healthcare professionals and assist with patient inquiries.
* Ensure the reception area and clinic rooms are kept clean and organised.
* Collaborate with the Practice Manager and team to manage the clinic's daily operations.
* Perform general administrative tasks, including filing, scanning and billing.
About You
To be successful in this role, you have the following:
* Administration experience in a similar role, ideally in a clinic setting.
* You possess exceptional attention to detail, organisational skills and can manage multiple tasks efficiently.
* Excellent written and verbal communication skills with a professional and personable phone manner.
* You're flexible, reliable and process oriented, with the ability to prioritise tasks and work under pressure.
* Solution oriented and the ability to proactively solve problems.
* A proactive mindset, willing to learn and grow with the practice and make the job your own.
* You're comfortable working both independently, with minimal supervision and as part of a supportive team.
* Proficiency with Microsoft Office and managing cloud-based systems. It is a bonus if you have some basic marketing and software knowledge.
* You have a positive can do attitude, show initiative and a strong work ethic.
