Primary objective
To provide high-quality executive and administrative support services, business operations support and project assistance
to the Deputy Chief Executive and their respective areas of responsibility.
Key duties and responsibilities
1. Ensure a professional and efficient approach to the management of services for the Executive, maintaining high standards
of service at all times.
2. Provide high level executive and administrative support, including managing confidential correspondence, arrange travel,
screen telephone calls and visitors, diary management, high-level electronic filing and initiating follow-up actions to meet
deadlines.
1. Operate independently and effectively in a team, while maintaining a high standard of work and fostering positive
relationships.
1. Carry out projects, conduct research and provided additional assistance to the executive and executive support team as
needed.
1. Organise conferences and meetings by coordinating the preparation of relevant papers, materials, and minutes. Manage
audio-visual requirements, catering, and other logistical details to ensure successful events.
Selection criteria
Essential
1. Sound knowledge of and demonstrated experience and capability in providing executive support and secretarial services
at an executive level, with strong skills in prioritising tasks and handling confidential and sensitive matters.
1. Demonstrated high-level interpersonal, oral, and written communication skills with an ability to interact effectively with
people from diverse cultures and executive staff.
3. Demonstrated exceptional organisational skills, including the ability to work under pressure, meet deadlines, work
independently and flexibly, stay self-motivated, exercise initiative, and maintain attention to detail.
4. Experience to utilise various computer systems, including proficiency in word processing, databases, spreadsheets, and
relevant computer systems for the position.
1. Proven ability to collaborate effectively with senior management, staff, and peers to achieve divisional objectives.
Desirable
1. Knowledge of, or the ability to quickly develop a working understanding of, government processes and agency
frameworks, including Cabinet and ministerial procedures, procurement, record management, risk management, and
recruitment.
1. NT drivers licence is preferred but not essential.
