About the role
This is a fantastic opportunity for an experienced Executive Assistant who is a dedicated and meticulous operator with strong interpersonal skills to collaborate and provide administrative and general support to the Country Head, Australia in a diverse and dynamic role.
Key Responsibilities:
* Provide comprehensive administrative support to the Country Head, Australia by efficiently managing their schedule, including diary and email management.
* Provide professional and confidential executive support to the Country Head, Australia as required including maintaining a high degree of attention to matters coming into and out of their office.
* Management of the CEO inbox to ensure no emails are missed and anything urgent is picked-up in a timely manner.
* Demonstrate proactive planning and adept coordination of meetings, events, conferences, and intricate travel arrangements while adeptly anticipating and resolving potential conflicts.
* Skilfully prepare, edit, and refine a variety of documents, encompassing presentations, emails, and reports, in alignment with organizational standards.
* Articulate and diplomatic representation of the Country Head, Australia in all external and internal communications, taking diligent meeting minutes and promptly addressing ad-hoc requests as necessary.
* Precisely handle expense claims, invoices, and other financial matters on behalf of the Country Head, Australia with meticulous attention to detail.
* Cultivate and maintain strong professional relationships with esteemed senior internal and external stakeholders, reflecting the organization's values and professionalism.
* Maintain a proactive interest in understanding business priorities and commercial objectives and meaningfully contribute to projects.
* Identify and act on opportunities for improvement within the business including but not limited to administration procedures & systems.
* Collaborate with key senior leaders of the business in confidential M&A transactions to ensure smooth integration of business practices.
* In addition to these core responsibilities, the incumbent will play a pivotal role in promoting and upholding a positive organisational culture. This will be achieved by exemplifying unwavering commitment to high standards and serving as a compelling role model for fellow colleagues.
Skills and Experience Required:
* You will have 5+ years' experience in an Executive Assistant role at Chief Executive Officer level or similar and be able to adapt to varying levels of involvement through projects and meetings.
* You will be proficient in languages such as Malay Bhasa, Mandarin and Indonesian (highly desirable).
* You are a master of calendar management, exceptional at meeting notes and the gold standard for organisation, thorough and high attention to detail.
* You are a people person with exceptional administration skills.
* Your ability to manage multiple tasks and never miss a beat is something you take great pride in.
* You are diligent, professional and care for the finer details to ensure our Country Head, Australia is operating to the highest level.
* Experience in working in a fast-paced environment with strong prioritisation skills and the ability to meet tight deadlines.
* Excellent written and verbal reasoning skills
* Strong skills in MS packages.
* Some flexibility on occasions with work hours to accommodate business being conducted across different time zones
* Qualifications in Administration are desired but not essential.
