Join Kaplan Pathways team and play a pivotal role in delivering high-quality academic operations that support student success across Australia and New Zealand.

We are looking for an experienced and highly organised Academic Operations Coordinator to help ensure the smooth and consistent delivery of academic processes across our colleges. This is a dynamic role where you will work closely with academic leaders, manage key operational activities, and contribute to maintaining compliance and academic excellence.

Reporting to the Manager, Academic Operations, you will coordinate a broad range of academic administrative functions including workforce planning, examinations, grading, compliance, and student experience surveys. You will play a key role in ensuring academic operations run efficiently while meeting regulatory and institutional requirements.

Responsibilities

* Coordinate academic workforce planning, including class allocations and teaching schedules
* Oversee end-to-end examination processes, including logistics, timetabling, and compliance
* Manage grading processes, ensuring timely and accurate submission and ratification of results
* Coordinate and analyse student feedback surveys (SELT), providing insights to stakeholders
* Maintain and administer academic systems, including LMS access, setup, and training
* Manage academic records, including transcripts, document requests, and verification processes
* Handle academic grievances, complaints, appeals, and academic integrity processes
* Prepare reports and analyse academic data to support compliance, decision-making, and continuous improvement

Requirements

* Higher education qualification in a relevant discipline
* Extensive experience in academic or educational operations
* Strong knowledge of higher education compliance, policies, and regulatory frameworks
* Proven experience managing student records, academic documentation, and transcripts
* Demonstrated ability to handle student complaints, appeals, and sensitive matters with professionalism
* Advanced organisational skills with the ability to manage multiple priorities and deadlines
* Strong analytical capability, with experience in data reporting and interpretation
* Excellent communication skills and the ability to collaborate effectively with a range of stakeholders
