About the Role
We are a fast-growing company looking for a reliable, detail-oriented Admin & Customer Service Executive to support the director and wider team.
This role is ideal for someone who enjoys being at the centre of operations — coordinating between sales, installers, customers, and management — and who takes pride in keeping things organised, accurate, and moving forward.
You will act as a key point of contact across the business and work closely with the director as a trusted assistant.

Key Responsibilities
Administration & Operations
* Liaise daily with the sales team and installers to ensure smooth job flow
* Review contracts and documentation for accuracy and completeness
* Manage data input/output across CRM, spreadsheets, and internal systems
* Maintain organised records and ensure all information is up to date
Customer Service
* Respond to customer emails and enquiries promptly and professionally
* Call customers to collect feedback after installation or service
* Assist customers with general enquiries and follow-ups
* Request and manage customer reviews where appropriate
Recruitment & Team Support
* Conduct initial screening calls for new hires
* Coordinate interviews and assist with onboarding administration
Reporting & Analysis
* Basic data analysis and reporting (sales, installs, customer feedback, etc.)
* Identify issues, gaps, or delays and proactively flag them
Executive Support
* Assist the director with day-to-day administrative tasks
* Take ownership of assigned tasks and follow through independently

About You
You are someone who is organised, proactive, and dependable, with strong communication skills.
Essential Requirements
* Fluent in both English and Chinese (Mandarin) – spoken and written
* Must possess native or near-native proficiency in Chinese (Mandarin) and English
* Strong attention to detail and accuracy
* Excellent written and verbal communication skills
* Comfortable speaking with customers and internal staff
* Confident using email, spreadsheets, and CRM systems
* Must have valid Australian work rights or eligibility to work in Australia
* Ability to multitask and prioritise in a fast-paced environment
Desirable
* Previous experience in admin, customer service, operations, or assistant roles
* Experience working with sales teams or trades/installers
* Quick learner with a problem-solving mindset
