We are seeking a Senior Administrator to lead our administration team and help create a welcoming, professional environment where clients feel supported from the moment they engage with us.
This role plays an important part in shaping both the day-to-day experience of our clients and the way our teams work together behind the scenes across our Wollongong-based services, including allied health and psychology.
About the Role
As Senior Administrator, you will provide guidance and support to a small administration team while helping ensure our services run smoothly and efficiently. You will be a key presence within our front of house environment, setting the tone for warm, respectful and professional client interactions, particularly for clients accessing allied health and psychology services, where empathy and sensitivity are essential.
Working closely with Department Managers, you will contribute to strengthening processes, improving workflows and maintaining consistent service standards across the business. Your leadership will help balance operational efficiency with a genuinely positive and supportive experience for clients and colleagues alike.
What You'll Be Responsible For
Team Leadership and Support
* Provide day to day guidance, mentoring and support to the administration team
* Help create a collaborative and positive team culture
* Coordinate workflows and priorities to support timely, high-quality service delivery
* Encourage clear communication and shared accountability across the team
Client Experience and Service
* Ensure every client interaction reflects a professional, welcoming and caring environment
* Support front-of-house operations, helping clients feel comfortable and informed throughout their visit
* Provide sensitive and respectful support to clients accessing allied health and psychology services
* Assist with appointments, documentation and enquiries with empathy and professionalism
* Maintain a consistent, high standard of communication across phone, email and in-person contact
Operational Coordination
* Oversee administrative processes including scheduling, records management, invoicing and reporting
* Support the smooth daily operation of reception and office functions
* Assist clinical, psychology and allied health teams by coordinating bookings, follow-ups and client administration needs
Continuous Improvement
* Work alongside management to refine processes and improve efficiency without compromising service quality
* Contribute to setting clear expectations and service benchmarks for the administration team
* Support ongoing improvement initiatives that enhance both team performance and client experience
About You
You are an experienced administrator who enjoys supporting people as much as managing processes. You bring a calm, organised approach and take pride in creating positive experiences for clients and colleagues, particularly in environments where clients may feel vulnerable or require additional care and understanding.
You will ideally have:
* Strong interpersonal and communication skills
* Experience in administration or customer service, ideally within healthcare, psychology or a service-focused environment
* Confidence supporting clients in sensitive or wellbeing-focused services
* Excellent organisational skills and the ability to manage competing priorities
* A collaborative, solutions-focused mindset
* An interest in developing teams and improving how work is done
