Our Client in Narre Warren requires the services of an experienced Contract Administrator. 
Position Overview: 
The Contract Administrator will be responsible for managing, reviewing, and coordinating contracts to ensure compliance, efficiency, and successful project delivery. This includes overseeing contract documentation, assessing and negotiating variations, liaising with stakeholders, monitoring contractor performance, and supporting senior management in decision-making.

Task & Responsibilities: 
- Contract Management 
Prepare, review, and manage service contracts with insurance companies, fleet clients, suppliers, and private customers, ensuring terms, repair scopes, and deliverables are clearly outlined and agreed upon. 
- Variation Handling 
Assess and process variations to work orders or contracts — including additional repair work identified during strip and assess, changes to quoted parts or labour, and pricing adjustments — ensuring all variations are documented and approved by relevant stakeholders. 
- Compliance Monitoring 
Ensure all contractual arrangements comply with applicable industry regulations (e.g. MTA, VACC standards), insurer requirements, and internal workshop policies relating to quality, safety, and environmental practices. 
- Client and Insurer Liaison 
Act as the central point of contact for insurance assessors, fleet managers, and customers on contract-related matters. Respond to queries, resolve disputes, and ensure a high level of service communication throughout the repair process. 
- Stakeholder Collaboration 
Work closely with estimators, panel beaters, spray painters, parts suppliers, and workshop supervisors to ensure repairs are delivered according to contractual obligations, within agreed timeframes, and to the required standard. 
- Reporting 
Generate and maintain reports on job status, contract performance, repair turnaround times, and insurer KPIs for review by management. Identify areas for process improvement or operational efficiency. 
- Documentation and Record-Keeping 
Maintain comprehensive records of service contracts, work authorisations, insurer correspondence, repair schedules, variations, and approvals to support audit readiness and dispute resolution. 
- Performance and Data Analysis 
Collect and analyse data related to contract performance, repair cycle times, customer satisfaction, and insurer benchmarks to support decision-making and continuous improvement. 
- Support to Senior Management 
Provide insights and recommendations to management on contract risks, negotiation opportunities, or policy updates. Assist in implementing strategic business decisions across contract and workshop operations. 
- Administrative Support 
Assist with general administration of workshop and office operations, including coordination of vehicle bookings, parts logistics, customer communications, and workshop scheduling when required. 
Qualification & Experience: 
- Diploma or degree in Business Administration, Project Management, Law, or a related field; equivalent relevant work experience will also be considered. 
- Proven experience in contract administration or management, preferably in commercial cleaning, facilities management, or service-based industries. 
- Strong understanding of service delivery agreements, variations, and client management. 
- Experience in reporting, record-keeping, and stakeholder liaison. 
- Proficiency in Microsoft Office and/or contract management software. 
- Excellent communication, negotiation, and organisational skills. 
- Ability to analyse data and provide actionable insights to management.
