About the Role
The Technology Operations Officer is the engine room of Helfie's internal technology function — the person who ensures every colleague, in every office, has the hardware, software, licences, communications and access they need to deliver on our preventative healthcare mission. Based in Melbourne, one of Helfie's global offices, the role sits at the intersection of IT operations, procurement, licensing administration and vendor management, and partners closely with Engineering, Finance and People teams as the company scales.
This role operates within an AI Agent-first organisation where AI tools are embedded into daily workflows and are expected to be used proactively — to automate routine administration, accelerate vendor research, streamline onboarding, and deliver better information faster to decision-makers across the business.
Key Responsibilities
* End-to-end hardware procurement for new and existing staff — laptops, peripherals, docking stations and accessories - including specification, sourcing, negotiation, delivery tracking and asset lifecycle management.
* Serve as the primary system administrator for Helfie's technology stack, with full accountability for access control, credential governance, and password security - ensuring all platforms and systems are protected, audited, and up to date.
* Administer Helfie's software licensing estate - Microsoft 365, Azure subscriptions, collaboration platforms, engineering tooling and SaaS services - covering assignment, renewals, true-ups, utilisation tracking and cost optimisation.
* Manage the communications stack - Microsoft Teams, email, video conferencing, telephony and office AV — ensuring reliable, secure and cost-effective services for a geographically distributed team.
* Day-to-day Azure tenant administration - user onboarding and offboarding, access provisioning via Microsoft Entra ID, subscription management, and coordination with Engineering on GPU compute services and cloud-resource procurement.
* Own vendor management across the technology supply chain — contracts, SLAs, renewals, performance reviews, escalations and commercial negotiations with hardware suppliers, SaaS providers and managed service partners.
* First-line support for simple networking and hardware issues across Helfie's offices - Wi-Fi, routers, switches, meeting-room equipment — coordinating with specialists where deeper expertise is required.
* Maintain an accurate IT asset register, licence inventory and vendor contract database - audit-ready, renewal-aware and visible to Finance and leadership.
* Leverage AI agents and automation proactively to streamline procurement workflows, vendor comparisons, licence utilisation reporting, onboarding tasks and contract review - reducing manual effort and turnaround times across the function.
* Partner with Finance on technology budgeting, purchase orders, accruals and cost reporting across hardware, licensing and cloud services.
* Support IT security hygiene in partnership with the SecDevOps team - device enrolment, MDM compliance, access reviews and licence-based security tooling.
Skills & Experience
Technical Skills
* Working knowledge of Azure administration - tenant management, subscription oversight, Microsoft Entra ID (Azure AD), licence assignment and cost tracking via Azure Cost Management.
* Strong familiarity with Microsoft 365 admin, Microsoft Teams administration and mainstream SaaS licensing models.
* Comfortable setting up and troubleshooting simple hardware - Windows and macOS laptops, peripherals, docking stations, printers and common office networking equipment (routers, switches, Wi‐Fi access points).
* Basic understanding of GPU‐based cloud compute services - how they are provisioned, licensed and billed - sufficient to coordinate procurement and cost oversight with ML engineering colleagues.
* Exposure to MDM platforms (Intune, Jamf or equivalent), asset management tools and ITSM / ticketing systems.
* Fluency with LLMs and AI‐powered workflows for research, vendor comparison, contract summarisation, reporting and routine administration.
Leadership & Communication
* Strong vendor management skills - commercial negotiation, relationship building, escalation handling and contract lifecycle oversight.
* Highly organised with a service‐oriented mindset - Helfie colleagues are your internal customers and you measure success by how well you unblock them.
* Clear written and verbal communication across technical and non‐technical audiences, including senior leadership and external suppliers.
* Comfortable collaborating across time zones with colleagues in multiple global offices.
About you
* 3+ years in an IT operations, technology administration, systems procurement or similar hands‐on role.
* Direct experience administering Azure and Microsoft 365 at the tenant and subscription level.
* Proven track record managing hardware procurement, licensing renewals and vendor contracts end‐to‐end.
* Prior exposure to a fast‐paced scale‐up or startup — able to build lightweight process where none exists and operate with limited supervision.
