Primary objective

The Administration and Enquiry Officer provides administrative support to the Crime Victims Services Unit (CVSU) and undertakes frontline customer service duties to ensure the effective delivery of services to victims of crime.


Context statement

This position is part of a team of other administration officers who provide timely assistance to victims of crime applying for financial assistance, liaising with stakeholders, maintaining data records and providing overall administrative support to the CVSU business unit.


Key duties and responsibilities

1. Provide timely assistance, information and support to victims of crime, service providers and other stakeholders.
2. Progress applications for financial assistance including file creation, requests - and follow-up - for information with other services.
3. Purchasing office supplies and arranging payments to stakeholders as well as victims of crime.
4. Maintain records by entering and updating electronic information systems with relevant data, ensuring the accuracy of all information within these databases and office automation products.
5. Provide effective administrative support by maintaining internal spreadsheets, taking minutes and providing other assistance to the Director and other staff within the CVSU as required.


Selection criteria

Essential

1. Well-developed communication and interpersonal skills to communicate effectively with sensitivity, confidentiality, tact and judgement when dealing with members of the public and a range of stakeholders including legal representatives, service providers and other Government agencies.
2. Well-developed cross-cultural skills with the ability to interact effectively with people from a wide range of socioeconomic and geographic backgrounds, and diverse cultures.
3. Demonstrated ability in providing a range of office administration functions including operating computer systems, preparing routine correspondence, responding to enquiries; purchasing; processing payments; and recording and maintaining data records.
4. Well-developed ability to manage multiple activities while maintaining a high-level of attention to detail and accuracy in a high-paced environment.
5. Well-developed ability to work within a team or under minimal supervision.

Desirable

1. Knowledge of, and sensitivity to, the issues and challenges in providing assistance to victims of violent crime.
