About the Role As the Executive Support Officer, you will be responsible for ensuring that the governance function and executive operations of St John SA run flawlessly. This role is a blend of high-stakes Board coordination and proactive Executive assistance. Your impact will be felt across the organisation, from the smooth running of the meeting lifecycle to the successful delivery of major corporate events like the AGM and Investitures. Key responsibilities will include: Governance & Board Coordination Meeting Lifecycle Management: Coordinating the full cycle of Board and sub-committee activities, including calendars, agendas, and the preparation of high-quality papers. Minute Taking: Attending meetings to provide high-level minute-taking services, ensuring 100% accuracy in recording discussions and tracking action items. Member Support: Assisting the Chair and CEO with onboarding new Board members and maintaining the governance Terms of Reference. Logistics: Managing all meeting logistics, including catering, external sites, and attendance for external invitees. Executive Support to the CCO Diary & Inbox Management: Proactively managing the Chief Commercial Officer’s schedule and communications to ensure priorities are met and deadlines are managed effectively. Stakeholder Liaison: Acting as a professional and efficient first point of contact for a diverse range of internal and external stakeholders. Strategic Projects & Administration Event Support: Assisting with key corporate events, including AGMs, Award ceremonies, and strategic initiatives. Continuous Improvement: Maintaining governance registers and updating policies to ensure best-practice administrative operations within the Office of the CEO. What You'll Bring Governance Aptitude: Proven experience in committee support with the ability to record minutes with 100% accuracy and follow complex discussion points. Communication Excellence: High-level verbal and written skills; you must be a clear, concise, and professional writer. Professionalism: A high degree of tact, diplomacy, and the absolute ability to maintain confidentiality in a high-stakes environment. Efficiency: Exceptional organisational skills with the ability to multitask and prioritise a high volume of work against strict deadlines. Technical Savvy: Expert proficiency in the Microsoft Office suite. Sector Knowledge: Prior experience in a Not-for-Profit (NFP) or volunteer-based organisation is highly desirable. Compliance & Requirements Education: Qualifications in Business, Management, or a related field are highly regarded. Licensing: A current South Australian Driver’s License is essential. Compliance: You must hold (or be willing to obtain) a National Police Certificate and a Working with Children Check (WWCC). First Aid: You must hold, or be willing to obtain, a minimum 'Provide First Aid' certificate. Flexibility: A willingness to undertake occasional out-of-hours work and regional or interstate travel as required.
