**About the Role**
The Part-time Administration Officer plays a crucial role in supporting the smooth operation of the office by managing administrative tasks, providing excellent customer service, and ensuring compliance with regulatory requirements. This role involves handling inquiries, maintaining records, coordinating processes, and supporting various office functions.
**Responsibilities Include**
- Serve as the first point of contact for all visitors and general inquiries, providing a welcoming and professional experience.
- Create and manage job entries in the system as needed, responding to urgent or unplanned tasks.
- Prepare and issue invoices to clients for completed jobs, ensuring accuracy and timely delivery.
- Upload job-related documents into the database, maintaining well-organised electronic records.
- Coordinate and manage the induction process for new technicians, ensuring all necessary paperwork and training are completed.
- Compile and distribute daily run sheets to relevant personnel, ensuring they have the necessary information for the day's tasks.
- Collect, review, and process employee timesheets for payroll and record-keeping purposes.
- Ensure adherence to all relevant regulatory and safety requirements, including WorkSafe (WS) regulations, Environmental Protection Authority (EPA) documentation, and other industry standards.
- Take and distribute minutes for meetings, ensuring all action items are documented and followed up on.
- Manage the accounts receivable process, including tracking outstanding payments and following up with clients as needed.
**Skills and Experience**
- Previous experience in an administrative role preferred, particularly in a similar industry.
- Strong organisational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in office software and database management.
- Ability to handle sensitive information with discretion and confidentiality.
- Knowledge of compliance and regulatory requirements related to WorkSafe (WS) and Environmental Protection Authority (EPA) is a plus.
**Work Schedule**:
- Part-time position with 25 hours per week. Specific days and hours to be determined.
- Opportunity to transition to a full-time role based on business needs.
