Sydney | Hybrid | $130k + Super
A leading Fortune 500 SaaS organisation (you'll likely have heard of them) is seeking an experienced Executive Assistant to provide high-level support to a senior finance leader who runs the finance function across the APAC region. This role is covering a leave of absence and offers the opportunity to work closely with executives involved in strategy, partnerships, venture investments, and key business initiatives. While this role is a contract there is potential to convert to permanent.

Key Responsibilities
* Manage complex executive calendars, ensuring effective scheduling and prioritisation
* Coordinate domestic and international travel, including handling last-minute changes
* Organise staff meetings, leadership forums, and key departmental events
* Coordinate quarterly all-hands meetings and semi-annual team building events
* Schedule group meetings and support large internal and external stakeholder sessions
* Assist with special projects across areas such as strategy, partnerships, venture investments, and M&A initiatives
* Compile and distribute weekly senior staff meeting minutes and team updates
* Maintain organisational charts, contact lists, and internal distribution lists
* Arrange candidate interviews and support onboarding logistics for new hires
* Process administrative documentation including expense reports, employment requisitions, contractor timecards, and facilities/IT requests
* Manage purchase orders and liaise with vendors to ensure timely billing and accurate project tracking
* Support office operations including supplies, equipment, and meeting technology (AV/web conferencing)
About You
* Proven experience supporting C‐Suite and Director level executives in a large global business environment
* Expertise in booking travel across the APAC region
* Highly organised with exceptional attention to detail
* Strong ability to manage multiple priorities and tight deadlines
* Confident communicator with excellent written and interpersonal skills
* Proactive, solutions‐focused mindset with a strong sense of ownership
* Comfortable navigating ambiguity and adapting to changing priorities
* Team‐oriented with a positive, no‐ego approach and willingness to help where needed
* Passion for creating systems, processes, and efficiencies
Nice to Have:
* Experience within large SaaS organisations
* Proven ability managing senior Finance executives (CFO or Finance Director)
