The Role

We're on the hunt for an Operations Officer who's part detail detective, part problem-solver, and part organisational wizard.

Reporting to the Principal Mortgage Broker, you'll keep the engine room running smoothly. You'll support our brokers to deliver "first-time-right" loan submissions, make clients' lives easier, and keep the paperwork (and people) in line.

Don't worry — this role is strictly administrative/operational, so you won't be giving credit advice or responsible for compliance requirements. You'll be the calm behind the storm, ensuring everything is ticking along like clockwork.

Your Day-to-Day Might Include:

§ Understand credit policies and lender preferences (you'll become the go-to person for "which lender does what").

§ Collect and review client information and supporting documentation for broker review.

§ Prepare loan application packages and collate documents for submission to lenders under broker instruction.

§ Assist brokers by ensuring documentation aligns with lender requirements and ACL compliance.

§ Liaise daily with BDMs, lenders, and funders to keep applications moving.

§ Request additional documents from clients and verify employment details when required.

§ Maintain accurate, up-to-date client and loan records within internal systems.

§ Provide administrative support during client meetings, under broker supervision.

§ Assist with settlements, discharges, and post-settlement follow-ups.

§ Provide policy and process updates to internal teams and marketing.

§ Support compliance administration by maintaining accurate records and assisting with audit preparation.

§ Participate in lender training and contribute to process improvements.

§ Support the Mortgage Broker and assist with any other business needs.

§ Keep systems updated with accurate notes and records (because messy data gives everyone a headache).

§ Liaise daily with BDMs, lenders, and funders to progress applications (yes, we said it twice — it's that important).

About You

We're looking for someone who:

§ Has a background or strong interest in banking, lending, or credit

§ Exceptional attention to detail and multitasking abilities — you notice when numbers don't add up

§ Can juggle multiple tasks without dropping a single one.

§ Is confident, curious, and loves to learn.

§ Thrives in a fast-paced environment where no two days are the same.

§ Resides in or around the beautiful Bass Coast (lucky you)

§ Holds Australian citizenship or permanent residency.

Bonus points if you've already worked in mortgages, but enthusiasm and a great attitude go a long way too.

Tools & Systems (experience with any is a bonus…)

§ NextGen ApplyOnline, lender portals, bank verification tools

§ workflow platforms such as MyCRM,

§ Microsoft 365 / Teams / Zoom

§ e-Signature tools (DocuSign, Adobe Sign)

§ Secure file-sharing and ID verification (GreenID / CTC)

§ Credit report ordering (under broker instruction)
