The Position
The Corporate Hospitality Coordinator will ensure our Reception and Corporate Hospitality functions are operated professionally, effectively and efficiently to meet internal and external customer expectations. The role will oversee, plan and involve food & beverage and administrative services for internal customers and visitors.
Key Responsibilities:
Strategic Leadership:
* Lead and mentor the Corporate Hospitality and Receptionist teams by managing the day-to day operations ensuring high levels of customer satisfaction and delivery of service offering.
* Manage end to end supervision, including participating in recruitment activities, monitoring and driving team performance, undertaking Performance Development Reviews (PDRs), identifying skill gaps and managing any staffing issues to ensure 100% service coverage at all times.
Corporate Hospitality and Event Management:
* Oversee the provision of direct support to the Offices of the CEO and Technical Director, ensuring requirements are met with total discretion.
* Oversee and assist the setup of meetings in conference rooms and clear and clean conference rooms on meeting completion.
* Manage the full lifecycle of corporate catering, from boardroom lunches to the seamless execution of catering events.
* Support the Corporate Communications team with the seamless execution of staff functions and internal events.
Reception and Front of House:
* Lead and oversee front of house operations to ensure a professional, welcoming and seamless first point of contact for all visitors, customers and staff.
* Supervise the coordination of office related activities, including postage services, security administration and staff onboarding, ensuring all tasks align with operational and security protocols.
* Manage sensitive information and high level administrative support for the offices of the CEO and the Technical Director, ensuring all front facing interactions are handled with total discretion.
Operational Efficiency and Resource Management:
* Oversee company stationery and amenities stocktake and maintain adequate stock levels.
* Prepare and manage the expenditure of assigned budgets, and conduct operations in an efficient manner within approved budget constraints.
* Oversee and assist unpacking of stationery and amenities orders and maintain organised stationery and amenities cupboards.
Safety and Compliance:
* Ensure WHS is maintained and security processes are followed at all times.
* In consultation with stakeholders, undertake a program of continuous improvement for hospitality and administrative processes to achieve and maintain high levels of service.
* Provide support and assistance to other departments and staff members as required.
* Other duties as directed by the Administrative Services Manager.

Our Ideal Candidate
* At least 4-5 years of workplace experience in a hospitality / office environment.
* Experience in managing and supervising a small team.
* Certificate in Business Administration is desirable.
* Hold current driver’s license.
* Extensive experience with office administration procedures.
* Highly developed communication skills, leadership, time management and organisational skills.
* Competent in use of Microsoft applications including Excel/Word at an intermediate level.
* Ability to multi task and prioritise workloads.
* Customer focused with a timely service orientation.
* Ability to be flexible and adaptable to changing organisational priorities and ambiguous environments.
Eligibility
* An Australian Citizen;
* Eligible to obtain and maintain an AGSVA clearance –Baseline to commence, Negative Vetting 1 upon the successful completion of probation.
