Admin & Customer Service Superstars – Help keep our back-end admin tight, tidy, and efficient while delivering exceptional support to our customers.
Scheduling Coordinators – Be the puzzle master that keeps our field technicians moving like clockwork and ensures every day runs smoothly.
The Role: Administration & Customer Service Superstar
We're looking for an organisational wizard to keep our office running smoother than a mould-free surface. In this role, you'll wear many hats and be the go-to for everything admin and customer service.
Key Responsibilities:
* Customer Service: Be the friendly voice and face of MouldMen – answering phone and email inquiries, assisting customers with questions, and ensuring every client feels valued and heard.
* Data Entry & Admin: Maintain accurate records of jobs, update databases, handle invoices and purchase orders, and keep our digital systems neat and tidy.
* Inbox Hunter: Assist management and technicians with admin tasks, improve office processes, and proactively tackle emails and client queries before they become big problems.
The Role: Scheduling Coordinator
Do you love creating streamlined schedules, solving last-minute puzzles, and improving efficiency wherever you can? You'll thrive in this role if you've got experience juggling logistics, communicating clearly, and staying calm when things shift quickly.
Key Responsibilities:
* Plan and optimise daily schedules for our field technicians
* Coordinate bookings to maximise efficiency and minimise travel time
* Manage last-minute changes and adjust schedules with confidence
* Communicate with customers and technicians to confirm times and solve issues
* Use scheduling tools and CRM systems to stay organised and on track
* Leverage AI to get ahead of the game
* Continuously improve processes and strive to hit KPIs
About You – Our Ideal Candidate
You're not just good at admin or logistics – you're a legend at it.
You bring:

* Proven Experience: At least 2 years in a fast-paced admin or scheduling role.
* Organisational Skills: Lists, calendars, and spreadsheets are your jam. You spot the typos and double bookings before they become an issue.
* Customer Service Confidence: Friendly, professional communication is second nature to you.
* Tech-Savviness: You're comfortable with systems, software, CRMs, and learning new tech – including AI tools.
* Team Spirit: You collaborate well and support your teammates.
* Problem-Solving Mindset: When things change (and they do), you adapt and respond calmly.
