Job Title
We are seeking a highly skilled Event Coordinator and Administrative Assistant to join our Community Engagement team.
Key Responsibilities:
* Coordinate all event logistics – invitation creation, distribution, event collateral, communications, RSVPs, event payments, provision of receipts, and setting up events in our system.
* Assist in planning and budgeting for events, including recording expenses.
* Provide high-level support to event managers and sub-committees, working groups, and representatives.
* Record expenditure and update event records.
* Research and prepare constituencies, including development and maintenance of a system engaging staff and former staff relating to the alumni reunion program and potential engagement of former parents.
* Prepare reports regarding association activity and events at regular intervals for management.
* Coordinate guest lists in relation to events and provide VIP lists to other departments.
* Prepare materials, including presentations for reunions.
* Conduct post-event activities and follow-up.
* Assist with enquiries of alumni.
* Update alumni details.
* Assist with editorial elements of the Lion magazine.
* Preparation and approval of birth notices for the Lion magazine.
* Circulate details and update records in relation to the deaths of alumni.
* Coordinate purchases on behalf of the organization through our purchasing system or directly as required.
* Maintain and operate the online ticketing system with regard to event activity.
